The Medical Receptionist serves as the vital first point of contact for patients and visitors within a healthcare facility, ensuring a welcoming and professional environment. This role is responsible for managing patient appointments, handling inquiries, and maintaining accurate patient records to facilitate smooth clinical operations. The Medical Receptionist coordinates communication between patients, medical staff, and administrative teams to support efficient healthcare delivery.

By managing front desk operations, including phone calls, patient check-ins, and billing processes, this position directly contributes to patient satisfaction and the overall effectiveness of the healthcare practice. Ultimately, the Medical Receptionist plays a crucial role in supporting healthcare providers by ensuring that administrative tasks are handled promptly and accurately, allowing clinical staff to focus on patient care.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting.
  • Basic knowledge of medical terminology and healthcare administrative procedures.
  • Familiarity with electronic health record (EHR) systems and appointment scheduling software.
  • Strong communication and interpersonal skills.

Preferred Qualifications:

  • Certification as a Medical Administrative Assistant or equivalent.
  • Experience with medical billing and insurance claim processing.
  • Proficiency in multiple languages to assist a diverse patient population.
  • Advanced computer skills including MS Office Suite and healthcare management software.
  • Knowledge of HIPAA regulations and patient privacy standards.

Responsibilities:

  • Schedule, reschedule, and confirm patient appointments using electronic health record (EHR) systems.
  • Answer incoming calls, respond to patient inquiries, and direct calls to appropriate medical personnel.
  • Maintain and update patient records, ensuring confidentiality and compliance with HIPAA regulations.
  • Process patient billing and payments, including co-pays and insurance claims documentation.
  • Coordinate with medical staff to manage patient flow and communicate any delays or changes.
  • Prepare and distribute patient forms, collect necessary documentation, and assist patients with completion.
  • Manage office supplies and ensure the reception area is organized and professional at all times.
