Shipping & Receiving Coordinator Job Summary
The Shipping & Receiving Coordinator assists with all shipping and receiving functions, inventory tasks, and purchasing.
Job Functions- Supports the shipment of goods destined for sale to our customer base
- Determines shipping methods for materials using knowledge of shipping procedures, routes, and rates
- Records shipment data such as weight, charges, space availability and damages / discrepancies for purposes of reporting, accounting, and record keeping
- Makes arrangements for pick-up by the appropriate carrier, either via specifications on the customer's PO, or by the company's own standard operating procedures
- Checks in incoming shipments and examines contents to compare with records such as sales orders and purchase orders
- Pulls order from warehouse stock as needed
- Stages and palletizes product in warehouse
- Performs light Quality Control to ensure that products are going to the correct areas
- Properly prepares necessary documents such as work orders, bills of lading and shipping orders to route materials
- Completes timely pick-ups and deliveries to suppliers or customers
- Reports defective materials or questionable conditions
- Keeps an adequate supply of shipping materials on hand at any time
- Performs general cleanup and maintenance of work area and kitchen area
- Follows set safety regulations and processes
- Overall organization and re-stocking of facility supplies
- Overall organization and maintenance of the yard area
- Clear driving record
- 2+ years shipping/receiving experience
- Forklift certified
- Experience with UPS/FEDEX online software is strongly preferred
- Familiar with bills of ladings and other standard shipping & receiving forms utilized by major freight carriers
- Familiar with proper packing methods and able to interpret visual aids
- Basic math/ counting skills
- Customer Service

- Meeting deadlines and schedule restraints
- Dealing with frequent interruptions and changing priorities
The Shipping & Receiving Coordinator may be located at any branch and reports to the Shipping & Receiving Supervisor, or the General Manager where applicable. Hours are 8 AM to 5 PM, with OT as needed. Physical demands are moderate and typically require the following: 50% sitting, 25% walking and 25% standing. Lifting, carrying, pushing and/or pulling of 50 or more lbs is required.

TrainingShipping & Receiving Coordinator training is to be carried out at any branch location necessary. The General Manager, or the Shipping & Receiving Supervisor is if in place at the branch, is responsible for the Shipping & Receiving Coordinator's training. When possible, the training will be conducted by the incumbent Shipping & Receiving Coordinator. When / if the incumbent is not available or no longer with the company, Shipping & Receiving Coordinator training will be carried out by the General Manager or Shipping & Receiving Supervisor, if applicable.
The following tasks shall be initially trained on the Shipping & Receiving Coordinator function:
- Preparing to ship products out to customers and determining the best shipping method
- Arranging timely pick-up by the appropriate carrier and arranging deliveries
- Receiving incoming shipments
- Pulling orders from warehouse stock
- Inventory
- Staging and palletizing the product
- Reporting defective materials or questionable conditions
- Keeping an adequate supply of shipping materials on hand
- Performing general cleanup and maintenance of the work area and the kitchen area
* Shipping & Receiving Coordinator is required to sign off on the Lifting Techniques Document
The Shipping & Receiving Coordinator shall be trained on the following software, as needed:
- Outlook
- UPS Worldwide/ Fed Ex
- P21
- Other MS Office Programs as needed
The following PPE shall be required by the Shipping & Receiving Coordinator:
- Steel-toe boots in a warehouse
- Safety Glasses in the appropriate areas of the warehouse
