Overview
Element is hiring for two new detail-oriented and proactive EMEAA Payroll Administrators to support payroll operations across multiple European countries, including Belgium, Czech Republic, France, Germany, Italy, and Spain.
The successful candidates will play a critical role in ensuring accurate and timely payroll processing through our Deel platform, whilst building strong relationships with HR, Legal, Finance, and IT to ensure seamless end-to-end payroll delivery.
This is a fantastic opportunity for an experienced payroll professional who enjoys working in a fast-paced international environment, managing multiple country payrolls, and driving continuous improvement within payroll processes.
Our new colleagues will be based from our beautiful new office in Edinburgh Park on a hybrid basis at least 3 days per week, where we enjoy state of the art facilities including state-of-the-art facilities including collaboration spaces, huddle rooms, open-concept layout, and abundant natural light. With fantastic links by train, tram, commuter routes, as well as having designated parking, we are well connected for colleagues across the central belt of Scotland.
ResponsibilitiesPayroll Operations
- Coordinate the end-to-end payroll process for assigned EMEAA countries through our Deel platform
- Ensure payroll inputs, including new hires, terminations, salary changes, bonuses, commissions, and statutory leave payments, are submitted accurately and within payroll deadlines
- Review payroll reports and pre-payroll calculations to identify and resolve discrepancies before payroll approval
- Validate payroll outputs against supporting documentation and approved compensation changes.
- Support monthly payroll sign-off processes in partnership with Payroll Management and Finance teams
- Payment management – oversee all regular and ad-hoc payroll payments, ensuring correct funding, approvals, and reconciliation
- Process & System Optimisation – analyse and enhance payroll processes, controls and system workflows including monitoring vendor performance and help to drive governance
Employee Lifecycle Administration
Process payroll-related employee changes, including:
- New starters, Leavers, Salary amendments, Job changes, Benefits updates, Statutory absences
- Ensure employee records within Deel remain accurate, complete, and compliant
Compliance & Governance
- Support compliance with local payroll legislation, tax regulations, social security requirements, and labour laws across Belgium, Czech Republic, France, Germany, Italy, and Spain
- Maintain payroll controls and audit documentation in accordance with company policies
- Assist with payroll audits and internal control reviews
- Escalate compliance risks or payroll irregularities promptly
Stakeholder Management
- Function as a first point of contact for employee payroll queries
- Build strong working relationships with HR, Finance, People Operations, and external payroll partners
- Collaborate with country stakeholders to ensure payroll data accuracy and timely submission of required information
- Provide a high level of customer service across multiple countries and time zones
Reporting & Reconciliations
- Perform payroll reconciliations and variance analysis
- Support monthly finance reporting requirements, including payroll journals and accrual data
- Generate and analyse payroll reports from Deel and other systems as required
- Assist with month-end and year-end payroll activities
Continuous Improvement
- Identify opportunities to streamline payroll processes and improve efficiency
- Support payroll projects, system enhancements, and process documentation initiatives
- Contribute to the ongoing optimisation of Deel payroll workflows and controls
- Previous payroll administration / payroll coordination experience within a multinational environment
- Payroll expertise across multiple EMEAA countries including Belgium, Czech Republic, France, Germany, Italy, and / or Spain
- Strong understanding of payroll principles, statutory deductions, and employee lifecycle processes
- Experience working with payroll systems and HRIS platforms
- Proficiency in Microsoft Excel, including lookups, pivot tables, and data analysis
- Experience managing sensitive and confidential information effectively
