Accounts Receivable Clerk

Description We are looking for an Accounts Receivable Clerk to support day-to-day receivables activities for a long-term contract opportunity in Cheektowaga, New York. This position focuses on maintaining accurate billing and payment records, following up on outstanding commercial accounts, and helping keep cash flow processes running smoothly. The ideal candidate brings strong attention to detail, sound organizational skills, and hands-on experience in accounts receivable operations.

Responsibilities:

- Manage incoming payments by applying cash receipts accurately to customer accounts and resolving posting discrepancies in a timely manner.

- Monitor outstanding balances across commercial accounts and conduct consistent follow-up to secure payment on past-due invoices.

- Prepare and process customer billing transactions while verifying that invoice details, amounts, and account information are correct.

- Investigate chargebacks, short payments, and deduction issues, then coordinate with internal teams to support resolution.

- Reconcile accounts receivable activity to ensure account balances are current, accurate, and properly documented.

- Maintain organized records of payment activity, collection efforts, and account correspondence for reporting and audit support.

- Communicate professionally with customers regarding account status, payment timelines, and billing questions.

- Assist with routine reporting related to receivables performance, cash collections, and open account balances. Requirements - Experience working in accounts receivable, including billing, payment posting, and account reconciliation.

- Background in commercial collections with the ability to follow up effectively on overdue balances.

- Working knowledge of cash application processes and daily cash collections activity.

- Ability to review account details carefully and identify discrepancies, deductions, or chargeback issues.

- Strong organizational skills with the ability to manage multiple accounts and deadlines accurately.

- Clear written and verbal communication skills for customer and internal team interactions.

- Proficiency with standard accounting or ERP systems and Microsoft Office, particularly Excel.
