POSITION SUMMARY

Goldberg Segalla LLP, a national law firm with more than 23 offices in 11 states, has an immediate opportunity for a Business Operations Specialist in our Buffalo, New York office. This role supports the Chief Operations Officer in managing day-to-day operations and enhancing overall efficiency. It also provides assistance to several administrative departments reporting to the COO. Key responsibilities include planning, logistics, and operational tasks, as well as delivering comprehensive administrative support to ensure the smooth functioning of a national law firm.

ESSENTIAL

JOB FUNCTIONS
  • Perform a variety of complex administrative functions to provide sufficient operational support
  • Provide operational support for special projects; research, obtain information, and help plan and ensure follow-through on deliverables/timelines
  • Project coordination support for COO
  • Assist with analyzing and organizing departmental data, reports and other work as needed
  • Operate independently to meet the requirements of the leadership team and offer expertise to assist other functions within the organization
  • Prepare and organize information/documents for projects, meetings, etc. that support the COO and Leadership Team
  • Maintain communication as needed with Leadership Team on behalf of COO
  • Help manage and prioritize the COO’s calendar and resolve scheduling conflicts
  • Assists COO in preparation of meeting materials and presentations
  • Coordinate and maintain any reporting needs for COO, Facilitation Committee and/or Leadership Team
  • Respond to needed correspondence, compose letters, memos and other required documents
  • Craft email communications as requested by COO
  • Coordinate and organize special Leadership events that take place throughout the year
  • Prepare meeting agendas, take meeting minutes and follow up on actions items from meetings
  • Files and maintains records and other important firm documents
  • Maintain databases of business materials necessary to support ongoing operations
  • In collaboration with COO, management of special tasks and projects to ensure progress towards planned objectives and timelines are met
  • Manage all documents that require review, approval and or signatures of the COO
  • Maintain sensitive and confidential information
  • Additional duties as assigned
REQUIRED SKILLS / ABILITIES & EXPERIENCE
  • Associate’s degree and/or 3+ work-related experience
  • Possess a great attitude and has a team player mentality
  • Proactive approach to executing work
  • Excellent attention to detail and organizational skills
  • Time management skills, able to establish priorities
  • Ability to maintain the confidentiality of sensitive information
  • Proficient in Microsoft Office, with a focus on Excel
  • Self-starter with the ability to multi-task while maintaining attention to detail
  • Ability to adapt in an always changing, fast-paced environment
  • Exhibits initiative, responsibility, flexibility and leadership
  • Experience working with remote, collaborative team members
  • Ability to use a working knowledge of the working environment to meet established goals and objectives
  • Regularly required to clearly communicate and exchange information in English
  • Strong organization and time management skills
  • Regularly required to observe and assess data and documents, in printed form and on computer screens
  • May be requested to work beyond normal work hours and weekends for special projects
  • Works well in a team environment
  • Ability to work independently within general guidelines and minimal supervision
  • Ability to recognize the need for confidentiality of information and to maintain such confidences
  • Ability to respond to internal or external inquiries, including those of a sensitive, confidential, or adversarial nature
BENEFITS

The salary range for this position is $60,000-$75,000. Actual pay may be adjusted based on experience and other job-related factors permitted by law. This position also offers bonuses, and a full benefits package.
