Summary

The Patient Service Representative works as a member of the Scheduling Team, reporting to the Scheduling/Chart Prep Manager. This role works in a fast‑paced call center, scheduling multiple appointments across five sites. The position may work remotely when performance expectations have been met. Effective communication between departments and exemplary patient care must be maintained. The role also performs a variety of additional tasks including working between multiple computer programs, fielding phone calls to appropriate parties, and assisting with both patient and co‑worker needs.

Duties and Responsibilities

Inbound Calls

  • Receive inbound calls using a multi‑line telephone system for the purposes of scheduling exams at one of five GLMI locations, screening and directing telephone calls to the appropriate person in an efficient manner.

Outbound Calls

  • Make outbound phone calls using a multi‑line telephone system for the purposes of fulfilling requests to schedule exams from physician offices and patients.
  • Schedules all exams according to the availability of the various departments.
  • Verifies the patient’s insurance provider and obtains prior authorization information.
  • Communicates information to patients regarding test preparations, time of scheduled arrival, and any other instructional information as needed.
  • Enters notes/comments within the patient’s chart for internal communication.
  • Acquires necessary medical records and documents for patient charts by communicating via telephone, facsimile or in person with other office locations or personnel.
  • Assists in managing voicemail messages.
  • Logs into the phone queue at the beginning of shift and logs out at the end of shift.
  • Indicates within the phone app throughout the shift if available or away from desk.
  • Routes and sorts documents within the digital fax tank.
  • Accesses and utilizes other medical‑based systems as assigned.
  • Performs other related duties as assigned.
  • Provides overtime opportunities when needed.
Necessary Skills
  • Ability to perform each duty as listed.
  • Strong computer skills including use of information systems and Google‑based programs.
  • Problem‑solving skills.
  • Strong oral communication skills including phone and in‑person.
  • Strong customer service skills and diplomacy.
  • Experience in radiology or medical terminology preferred.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Qualifications
  • High School Diploma or Equivalent (prior administrative experience helpful).
Physical and Mental Requirements
  • Sitting, standing, keyboard use for long periods.
  • May be asked to lift up to 25 pounds.
  • Ability to listen and communicate with patients face to face or over the phone.
  • Required to read, write, and work in a fast‑paced office setting.
  • Ability to make decisions and think quickly.
  • Must have mental and physical capabilities to perform all tasks listed.
