Delaware North is hiring a full-time Aviation Scheduling Coordinator to join our team at our global headquarters in Buffalo, New York. As an Aviation Scheduling Coordinator you will be responsible for working closely with flight crews, passengers, vendors, and service providers to support the safe, efficient, and seamless operation of the Aviation Department. PayMinimum – Anticipated Maximum Base Salary: $62,354 - $85,800 / year
In addition to base salary, we offer an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan. The advertised pay range represents what we believe at the time of this job posting, that we would be willing to pay for this position. Only in special circumstances, where a candidate has education, training, or experience that far exceeds the requirements for the position, would we consider paying higher than the stated range.

- Coordinate passenger travel using company aircraft, charter aircraft, and fractional providers while managing trip logistics for passengers and crew members
- Schedule aircraft for passenger trips, maintenance events, training activities, and other operational requirements
- Arrange catering, lodging, ground transportation, rental vehicles, and related travel services while ensuring vendor quality and timely delivery
- Maintain passenger manifests, flight schedules, operational records, and trip documentation with accuracy and attention to detail
- Process invoices, verify charges, resolve discrepancies, and code expenses through applicable financial systems
- Manage vendor profiles, credit applications, payment terms, and supporting documentation to maintain effective supplier relationships
- Coordinate uniform programs, airport badge renewals, and recurrent training logistics for flight department personnel
- Enter flight data into CAMP and provide administrative support through correspondence, reporting, budget tracking, filing, and record retention
- Strong organizational, communication, customer service, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience supporting executive travel, aviation operations, scheduling, hospitality, or administrative functions preferred
- Proficiency with Microsoft Office applications and aviation support systems preferred
- Ability to maintain confidentiality and professionalism
