Our client, a well-known entertainment company, is looking for an Executive Assistant to join their internal creative agency for a 9 month contract! This role reports to and provides executive administrative support to the VP.

Responsibilities:

  • Manage the administrative needs of a VP
  • Schedule meetings, manage calendars, and coordinate travel arrangements.
  • Handle expense reports in Concur, process invoices via SAP, and manage distribution lists.
  • Compile and distribute weekly and monthly updates across all CW Directors.
  • Compile monthly review materials into word/deck presentation. Support asset/information gathering for QBRs as needed.
  • Provide general office support, including liaising with building staff, facilitating in-office moves, and setting up new team members.
  • Organize team events, both in-person and virtually.
  • Assist with special projects and procurement of office supplies.
  • Assist in departmental projects, including creating presentations, reviewing materials, and conducting research.
  • Develop and maintain decks and documents in Keynote and PowerPoint and organize files on Teams, SharePoint and Air Table.


Required Qualifications :

  • 2 years of proven experience as an executive assistant in a fast-paced environment.
  • Strong organizational skills, attention to detail, and ability to prioritize workload effectively.
  • Proficiency in Microsoft Office, particularly Outlook, Teams, Word, Excel, Keynote, and PowerPoint.
  • Ability to optimize the Executive schedule and agenda in a fast-paced and multi-touchpoint environment
  • A familiarity with Air Table
  • Ability to handle confidential information with discretion and professionalism.
  • Self-starter with the ability to meet deadlines, prioritize tasks, and adapt to changing situations.
  • Highly collaborative with strong interpersonal and communication skills both written and verbal.
  • Event planning experience and ability to work in a collaborative team environment.
  • Flexibility to accommodate different time zones and work schedules, with occasional overtime.
