Admissions Specialist

Compensation: $20.00 - $25.00 / hour

Description

Holding Hands Pediatric Therapy & Adult Services is currently looking for a full-time Admissions Specialist. The ideal candidate should be organized and able to multi-task with great attention to detail. They will possess strong verbal and written communication skills, excellent follow-up skills, and will complete assignments quickly and accurately. The ideal candidate will also have experience working with an agency that provides therapeutic services to individuals diagnosed with Autism Spectrum Disorder & Mental Health.

This position reports to the Director of Billing and Admissions.

Key Responsibilities
  • Answer phones and respond to inquiries from families and referral sources regarding the admissions process with empathy and professionalism.
  • Collect and verify required admissions documentation, including patient demographics and forms.
  • Verify patient eligibility and insurance benefits.
  • Request and track authorizations for services.
  • Maintain timely and consistent follow-up on pending admissions and cases.
  • Accurately update and maintain information in the system of record.
  • Collaborate with department coordinators and internal teams to support an efficient admissions process.
  • Prioritize tasks effectively and work efficiently in a fast-paced environment.
  • Cross-train and provide support in applicable areas of the department as needed.
  • Maintain compliance with HIPAA and all applicable privacy and confidentiality requirements.
  • Communicate with management regarding operational needs and recommend process improvements.
  • Perform other administrative duties as assigned by the Director of Billing and Admissions.
Skills, Knowledge and Expertise
  • High school diploma or equivalent required.
  • At least 6 months of customer service or administrative experience preferred.
  • Strong verbal and written communication skills with the ability to interact professionally and compassionately with families, referral sources, and team members.
  • Excellent organizational skills with strong attention to detail and follow-through.
  • Ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Proficiency in Microsoft Office, spreadsheet data entry, and basic computer applications.
  • Bilingual in English and Spanish preferred.
  • Successful completion of a Department of Justice (DOJ) background check required.
  • Ability to build effective working relationships with staff, providers, and patients.
  • Proficiency in Microsoft Office.
