Administrative Services Coordinator (Project Management)
Retirement Unlimited is seeking an Administrative Services Coordinator to join the team! The comfort and care of our residents is our highest priority. The Administrative Services Coordinator serves as a key operational and customer‑service role within the community, supporting resident move‑ins, administrative operations, and day‑to‑day coordination. This position ensures a smooth and welcoming move‑in experience for residents and families while providing essential administrative support to the Executive Director, department leaders, and community operations.
This role acts as a central point of coordination between Community Relations, Clinical, Operations, to ensure accuracy, compliance, and exceptional service. The ASC also serves as a community leader by participating in the Manager on Duty (MOD) rotation, supporting residents, families, and staff during assigned coverage times.
- Coordinate and manage all aspects of resident move‑ins, ensuring a seamless transition from acceptance to move‑in day.
- Serve as the primary administrative point of contact for residents and families during the move‑in process.
- Collect, review, and track all required move‑in documentation (agreements, financial forms, medical records, assessments, etc.).
- Coordinate move‑in timelines with Sales, Nursing, Life Enrichment, Culinary, Housekeeping, and Plant Operations.
- Coordinate move‑in timelines with Community Relations, Nursing, Life Enrichment, Culinary, Housekeeping, and Plant Operations.
- Schedule move‑in meetings, orientations, and room readiness walkthroughs.
- Ensure move‑in checklists are completed and documentation is accurately maintained.
- Support welcome processes and first‑day experiences for new residents.
- Assist with maintaining compliance documentation related to residents and community operations.
- Support audits, inspections, and surveys by preparing documentation and records.
- Track required forms, acknowledgements, and approvals.
- Maintain confidentiality of resident, family, and business information at all times.
- Support positive resident and family relations by addressing administrative questions or routing concerns appropriately.
