Under the direction of the HR Manager, the HR Administrative Assistant provides vital support across a wide range of HR functions. This role is responsible for maintaining accurate employee records, assisting with the administration of the HRIS system, and supporting various HR projects and initiatives. By efficiently managing organizational tasks and coordinating HR programs, the HR Administrative Assistant ensures the department runs smoothly, fosters a positive workplace environment, and enables the HR team to focus on strategic priorities that contribute to a well‑organized and employee‑friendly workplace.
RoleResponsibilities
- Ensure all new employee documentation is completed accurately and submitted on time.
- Manage employee recordkeeping and compliance documentation, including work permits and electronic filing.
- Process and manage HR form requests (e.g., ESC forms, employment letters, etc).
- Monitor and triage the department email inbox, respond to employee inquiries, and prepare employment‑related correspondence.
- Provide general administrative support to the HR department, including creating job aids and organizing materials.
- Identify opportunities to streamline workflows or automate processes to improve efficiency and service delivery.
- Prepare and distribute complex HR reports on a regular basis.
- Maintain and update departmental trackers related to recruitment, onboarding, benefits, and compliance.
- Coordinate employee engagement initiatives such as the Cool Rewards program.
- Perform other duties as assigned to support HR operations.
Skills & Qualifications
- Degree or diploma in Human Resources Management
- Previous experience working in an administrative capacity
- Proficiency in all MS Office products (Word, Excel, PowerPoint, Forms, Visio, etc)
- Exceptional verbal and written communication skills, with strong attention to professional email etiquette.
- Strong attention to detail and confidentiality, with proven critical thinking and problem‑solving abilities.
- Demonstrate a high level of initiative and ability to work under minimal supervision or direction.
- Ability to work effectively within a team environment, demonstrating flexibility, collaboration and adaptability.
