The Role

The Procurement Coordinator supports the Procurement Manager and project teams with the day-to-day coordination of procurement activities across Bronte Construction projects. This entry-level, growth-focused position is ideal for a driven and organized individual who wants to build a career in procurement, construction, or construction management. The role provides practical exposure to how projects are bought, priced, scheduled, documented, and supported behind the scenes.

The successful candidate will prepare and track RFQs, communicate with vendors and project teams, organize and assess quotations, maintain procurement records, and support reporting and departmental KPIs. Strong attention to detail, initiative, organization, and communication are essential.

Responsibilities Procurement Operations:
  • Prepare, issue, track, and follow up on RFQs under the direction of the Procurement Manager.
  • Upload, organize, and review quotations, capturing pricing, scope, lead times, exclusions, delivery requirements, and supporting documents.
  • Prepare quote-comparison summaries and identify missing information, discrepancies, scope gaps, and potential procurement risks for review.
  • Support purchase-order documentation by ensuring required quotes, approvals, and backup are complete before Procurement Manager review.
  • Maintain accurate procurement schedules, RFQ trackers, and records in Smartsheet, Jonas, and project folders.
  • Assist with procurement reporting, including open RFQs, project procurement status, savings reports, and departmental KPI's.
Vendor and Project Coordination
  • Communicate daily with vendors by email and phone to request pricing, follow up on outstanding RFQ’s, clarify quote details, and obtain required information.
  • Coordinate with project managers, site teams, estimating, and operations to confirm purchasing needs, quantities, delivery requirements, and deadlines.
  • Research and source potential new vendors; maintain complete and current supplier contact information in the approved vendor database.
  • Support positive vendor relationships through clear, professional, and timely communication.
  • Escalate late responses, missing information, pricing concerns, scope gaps, and other procurement issues promptly to the Procurement Manager
Documentation, Reporting, and Development
  • Maintain organized, audit-ready files for RFQs, vendor quotes, procurement documentation, and related correspondence.
  • Assist with maintaining procurement processes, templates, reports, and KPI tracking.
  • Develop a working understanding of construction procurement, project operations, estimating, scheduling, financial controls, and Bronte systems.
  • Gain exposure over time to broader procurement functions, including vendor performance, contract documentation, and project purchasing strategy.
Safety, Quality, and Ethics
  • Promote Bronte’s standards of safety, QA/QC, ethics, and core values in all procurement activities.
  • Handle vendor information and procurement decisions with professionalism, transparency, and confidentiality.
Qualifications
  • Post-secondary education in business, supply chain, construction management, finance, or a related field is preferred; equivalent experience and strong aptitude will be considered.
