One Drive for Business May Not Be Fully Secure

Posted by curesolutions on March 4, 2025

Heads up:
If your company uses One Drive for Business to store critical documents in the cloud, they may not be as secure as you think.

According to security expert Brian Maloney, Microsoft is not adequately securing data on users' devices, which could present a significant security risk if that device becomes compromised. Without proper security measures, sensitive information stored on One Drive for Business could fall into the wrong hands, potentially leading to serious consequences for your company.

What Businesses Need to Know About the One Drive Data Vulnerability

The risks associated with Microsoft One Drive stem from an issue with Optical Character Recognition (OCR), a tool that supports search functions. When you search for files in your One Drive account, the system automatically saves the OCR data as plain text images in a database on your device. Security experts also note that images saved with One Drive are stored in an unsecured SQLite file.

Why is this an issue?

The concern is less about devices issued by your company, which typically have multiple security layers, and more about personal devices used by employees to access One Drive. Devices lacking adequate security measures can make One Drive files more vulnerable to unauthorized access.

Cloud Storage Security Tips To Protect Your Business

Since Microsoft has not publicly addressed this issue or explained why OCR databases are not secured, it is essential for you to implement security measures to protect your company's data:

  • Implement network access controls (NAC) to prevent devices that do not meet security standards from accessing your network.
  • Require employees to use a VPN for work-related activities on personal or company devices.
  • Manage One Drive access controls carefully to restrict sensitive data to authorized personnel.
  • Maintain regular updates and patching protocols to ensure Microsoft 365 and One Drive have the latest security protections.
  • Use two-factor authentication and strong passwords.
  • Disable One Drive features that are not necessary to reduce potential risks.

While these tips can enhance your security, they are not foolproof, especially considering the vulnerability involving employee devices. You should evaluate whether to allow personal device use for work and establish security standards accordingly.

Additionally, educate your employees about vigilance when using their devices, as phishing and risky internet habits can pose security threats both at work and tinuous awareness is vital to prevent potential breaches.
