Estimating Coordinator

The Estimating Coordinator provides administrative and technical support to the estimating team for public and private civil construction projects. This role is critical to the bid process and supports day-to-day office operations, including answering phones and assisting with general office tasks. The ideal candidate is detail-oriented, technically proficient, highly organized, and comfortable working in a fast-paced, deadline-driven environment.

Duties & Responsibilities

Estimating Administrative Duties

  • Assist estimators with bid preparation.
  • Download, organize, and manage bid documents, plans and specifications.
  • Perform quantity takeoffs and data entry as directed.
  • Edit, mark up and manage blueprint PDF’s.
  • Prepare and assemble bid packages, proposals and supporting documentation.
  • Track bid deadlines, addenda and submission requirements.
  • Maintain bid logs and estimating files with accuracy and consistency.

Bid Running

  • Confirming agenda, bid time, submission method, registration and bonding requirements.
  • Verify and finalize final subcontractor and supplier numbers, updating pricing spreadsheets or bid submission.
  • Print/sign/notarize documents if required.
  • Confirm bid bond amount is sufficient and accurate.
  • Submit the up-to-date and approved bid before deadline.
  • Report back competitor bids and provide feedback to estimators and executive leadership.

Document & Plan Management

  • Edit and review blueprint PDF’s using Bluebeam.
  • Organize electronic files and maintain consistent naming and version control.
  • Assist with document revisions, redlines and plan comparisons.
Required Skills & Abilities
  • Strong Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams).
  • Strong computer skills with the ability to quickly learn new software, including estimating and document management tools.
  • Experience working with PDF editing software (Bluebeam preferred; Adobe acceptable).
  • Familiarity with construction drawings and blueprints.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Highly organized with the ability to manage multiple priorities and deadlines in face-paced situations.
  • Self-starter who can work independently and collaboratively.
  • Ability to operate a passenger vehicle in a safe manner and a clean driving record.
Education & Experience
  • High School Diploma, preferred Post Secondary Degree (trade/associates/bachelor’s).
  • Fundamental knowledge of construction field and bid process preferred.
  • Experience with Computer Ease, Heavy Bid, Heavy Job, Bluebeam.
  • Experience completing confidential assignments with high attention to detail.
Work Environment

The work environment is fast-paced and deadline-driven, especially around bid days. Team members work collaboratively in an office setting, coordinating closely with estimators, project managers, subcontractors, and vendors. The role requires strong attention to detail, the ability to manage multiple priorities at once, and comfort working under time-sensitive conditions. While much of the work is desk-based, it directly supports active construction projects and requires clear communication, organization, and adaptability.

Compensation

Range

The salary range includes the minimum, midpoint, and maximum base salary values. A candidate's offer can vary depending on differentiating factors, including but not limited to education, training, or experience.

$25.00 - $27.00 per hour, non-exempt - DOE

Physical Requirements

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle or feel; reach with hands and arms; and talk or hear. The employee is frequently required to sit for long periods of time, although a stand-up desk is offered. The employee frequently is required to stand, walk, stoop, kneel, or crouch and must frequently use fine hand manipulation (keyboarding).

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. At times, it may require you to work full-time to perform the essential duties of the position.
