AECOM is actively seeking a detail-oriented and organized Project Administrator/Coordinator to join our team. The ideal candidate will be responsible for managing document control, coordinating travel and logistics, and supporting project management activities to ensure smooth and efficient project execution.
The right candidate can work locally from our Burnaby BC, Calgary, Edmonton, AB office. For the right candidate consideration of work from Whitehorse, YT will be considered. AECOM can provide hybrid work options to give the flexibility you need to do your best work. This is a regular, full-time position.
Responsibilities- Maintain and organize project documentation, ensuring all documents are up-to-date and accessible.
- Ensure compliance with document control standards and procedures.
- Track and manage document revisions and approvals.
- Arrange travel accommodations for project team members, including flights, hotels, and transportation.
- Manage travel itineraries and ensure all travel arrangements are cost effective and within budget.
- Coordinate travel schedules and resolve any travel-related issues.
- Plan and manage logistics for project-related activities, including meetings, site visits, and events.
- Coordinate the shipment and delivery of project materials and equipment.
- Ensure timely and efficient logistics support for project teams.
- Assist project managers in tracking project progress and milestones.
- Prepare and distribute project reports and updates.
- Coordinate project meetings and prepare meeting agendas and minutes.
Minimum Qualifications:
- HS diploma + 2 years of related experience.
Preferred Qualifications:
- Bachelor's degree in Business Administration, Project Management, or a related field.
- Prior experience in project coordination or a similar role.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in document control systems.
- Ability to work independently and as part of a team.
- Attention to detail and problem‑solving abilities.
- Flexibility to adapt to changing project requirements and priorities.
