Position Summary

The Program Assistant II supports the success of JIBC’s Control Tactics Training (CTT) programs by providing administrative, clerical, and coordination services. This role plays a key part in ensuring program delivery by coordinating role player intake, supporting departmental administration, and maintaining accurate records for CTT training programs. The position is the primary point of contact for role player scheduling, working closely with lead and in-service instructors to ensure compliance with CTT standards.

Additionally, the Program Assistant II supports the planning and delivery of the CTT courses, liaising with external agencies and ensuring organization of related documentation. The role also provides administrative support for key departmental initiatives such as the International Use of Force Expert Conference, CTT newsletters, and external training requests. This role supports the overall success of the CTT programs and contributes to a collaborative team environment.

Qualifications & Requirements
  • Grade 12 Diploma
  • Minimum 2 Years Post Secondary in a related study, e.g., Business Administration
  • Proficiency in basic editing software (Final Cut 11, Adobe, and Mac platforms)
  • Data and File Management proficiency (for long term record tracking)
  • Proficiency in Microsoft Office
  • Working Knowledge of Mail Chimp or Similar Newsletter Software
  • Strong skills for spreadsheet and shared documents/folders
  • Strong interpersonal skills – ability to liaise with multiple agency personnel, business representatives, instructors, role players, and managers
  • Strong written skills – prepare minutes, format reports, publish newsletter
  • Working knowledge of registration tracking software including Trackie and Zen Planner
  • Excellent verbal and written communications, including accurate spelling, grammar, proof reading and document formatting
  • Proven ability to work with regular interruptions
  • Ability to establish and maintain effective working relationships with a variety of internal and external contacts in a team-based setting is very important, including staff, students, faculty and the public
  • Ability to exercise tact, diplomacy and patience in dealing with others and engage in mutual problem solving
  • Proven ability to meet deadlines, establish priorities and maintain a high level of accuracy, while managing a high volume of work
  • Proven ability to multi-task, problem solve and to carry out complex instructions accurately
  • Must have a positive attitude and be prepared to participate as a full member of a collaborative team
  • Physical ability to move boxes (up to 25 lbs.) is required
  • Excellent organizational and priority setting skills. The work is detail-oriented and requires significant experience maintaining electronic, paper, and other records. The position requires flexibility and a willingness to learn new skills in a dynamic environment
  • Models respectful and inclusive workplace behaviours, and demonstrates a commitment to meaningful outcomes in diversity, equity, and Indigenization
  • Post Secondary Accounting Course(s) preferred
  • National Coaching and Certification Program Lvl 1 / 2 Equivalent (DA / DI) preferred
  • Experience with sport Fit Testing – previous high performance sport training - including data tracking and benchmark references preferred
