Service Project Administrator

• Plan and review assigned projects, establish schedules and project parameters, and set procedures to accomplish system goals.
• Set up service agreements in the system application based on transition documents.
• Establish and measure internal service processes and associated compliance.
• Maintain customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
• Connect and communicate with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
• Schedule and participate in internal project team meetings to ensure accurate transfer of information.
• Validate cost to date and reconcile project data in the business system.
• Reconcile purchase order discrepancies to support the Service fulfillment process.
• Review billing backlog and coordinate/communicate with Service Managers, HVAC Field Technicians, customers, as necessary to resolve obstacles.

• High School diploma or GED and up to two (2) years of related experience or equivalent education and experience.
• Strong communication skills, proactive approach, willing to work independently as well as part of a team.
• Demonstrated ability to perform tasks such as problem solving, decision making, rational thinking, and exercising good judgment.
• Experience prioritizing tasks in order to meet tight deadlines within a fast‑paced environment.
• Previous experience with financial systems and basic accounting (accounts receivable and accounts payable) is an asset.
• Construction law and regulation knowledge is an asset.
• Familiarity with HVAC system operations is preferred but not required.
• Flexibility to work overtime/ weekends, as required.

Base Pay Range: $65,600 - $86,400.
