About the OpportunityReporting to the Property and Fleet Manager,
Sr. Projects & Fleet Coordinator supports the day-to-day operation, maintenance, and improvement of the organization’s property and fleet portfolio.
The position serves as a primary point of contact for maintenance and property-related requests and has responsibility for coordinating contractors, work orders, property inspections, and preventative maintenance activities. The role also provides tenant and lease administration support and assists with the planning and delivery of renovation, accessibility, and capital improvement projects.
With an emphasis on functional and welcoming environments, the coordinator applies interior design and space planning knowledge to property improvements while developing increased responsibility in property, tenancy, and project management.
Principal Functions and Accountabilities:
Property Operations & Maintenance
- Coordinate day-to-day maintenance requests across owned and leased properties, including prioritizing requests, assigning contractors, and following work through to completion.
- Coordinate contractors, trades, and service providers, including scheduling, site access, estimates, and quality follow up.
- Conduct property inspections and site visits to identify maintenance, safety, accessibility, and operational concerns.
- Support preventative maintenance programs and respond to urgent property issues.
- Maintain property, maintenance, contractor, and inspection records.
Tenant & Property Management
- Support the administration of CLS owned and operated housing units.
- Coordinate tenant communications regarding maintenance, inspections, building operations, move-ins, and move-outs.
- Assist with tenancy agreements, leases, service agreements, and related documentation.
- Maintain accurate tenant, lease, and property records.
- Liaise with tenants, landlords, contractors, and other stakeholders regarding property-related matters.
Project Coordination & Interior Design
- Support the Property and Fleet Manager in the planning and delivery of renovations, accessibility upgrades, maintenance projects, and capital improvements.
- Coordinate project schedules, contractors, procurement, site access, and documentation.
- Obtain and coordinate estimates and assist with project budgets, timelines, and deliverables.
- Track project progress, deficiencies, and completion milestones and provide regular updates to the Property and Fleet Manager.
- Assist with space planning, finishes selection, layouts, and other interior design considerations.
- Support the development of functional, accessible, welcoming, and personalized environments.
- Participate in larger capital projects and progressively assume responsibility for smaller renovation and improvement projects.
Fleet & Asset Support
- Coordinate vehicle maintenance, inspections, registrations, and associated documentation.
- Support fleet and asset management systems, maintenance tracking, insurance documentation, and replacement planning.
- Maintain accurate fleet records and assist staff with fleet management systems and processes.
Administration, Safety & Compliance
- Maintain accurate maintenance, project, tenant, contractor, and fleet documentation.
- Support invoice processing, procurement, work-order administration, and operational reporting.
- Assist with emergency preparedness, safety inspections, and urgent property or fleet situations.
Position #1 - Permanent Full Time (REC-n/a)
- Monday to Friday 9am to 5pm
Travel: Willing to travel to sites
