Overview

We are seeking a highly organized and dependable Parts & Warehouse Coordinator to support the flow of parts, materials, and equipment across our service operations and project work.

This role supports the existing Parts Team by supporting the coordination of parts orders, shipping and receiving, supporting inventory management, and ensuring accurate documentation. You will work closely with manufacturers, contractors, service technicians, and Riada’s internal team to ensure the right parts are delivered accurately and on time.

Success in this role requires strong attention to detail, communication, and the ability to manage multiple priorities in a fast-paced environment.

Duties

Parts Coordination & Order Management
  • Process parts orders and coordinate with manufacturers and suppliers to confirm pricing, availability, and lead times
  • Generate purchase orders and ensure accurate order entry, tracking, and follow‑through
  • Support urgent and time‑sensitive parts requests from the Service team
  • Maintain clear communication with internal teams on order status and delivery timelines
Shipping, Receiving & Logistics
  • Coordinate inbound and outbound shipments
  • Arrange freight, courier, and delivery logistics based on urgency and job requirements
  • Receive parts and equipment and ensure proper documentation and inspection
  • Track shipments and proactively resolve delays, damages, or discrepancies
  • Prepare parts for technician pickup, contractor delivery, or jobsite shipment
Warehouse & Inventory Management
  • Maintain an organized and efficient warehouse, storage, and staging area
  • Track commonly used service parts and support restocking efforts
  • Assist with inventory counts and continuous improvement of warehouse processes
  • Ensure all parts are properly labeled, stored, and handled to prevent loss or damage
  • Support safe handling of materials and equipment
Customer & Team Support
  • Support as a key point of contact for contractors and service partners regarding parts inquiries
  • Provide clear and professional communication to both internal and external stakeholders
  • Support service technicians with parts coordination, documentation, and follow‑up
  • Work collaboratively with the broader Riada team to support project and service execution
Documentation & Accuracy
  • Maintain accurate records of purchase orders, packing slips, shipping documents, and warranty claims
  • Ensure all parts transactions are properly documented for tracking and future reference
  • Support continuous improvement of parts systems, processes, and supplier coordination
Requirements
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Ability to coordinate multiple orders, shipments, and priorities simultaneously
  • Comfortable working in a warehouse/shop environment
  • Ability to safely lift and handle materials and equipment (up to 50 lbs)
