Burnley Group Practice is looking to recruit an enthusiastic and conscientious Clinical Admin Assistant to join our fantastic admin team. This is a key role in our Team and if you enjoy helping people and have an eye for detail then this role is for you.

Working as part of the admin team, you will have specific responsibilities processing SARS (Subject Access Requests), summarising patient records and supporting the admin work for the Safeguarding Lead. You will take on other clinical admin work as necessary to support colleagues and assist with the smooth flow of information, contributing to the provision of data for clinical registers and QOF/Quality reports.

You will need to feel comfortable with technology, and also with change since the NHS is required to constantly change to meet the emerging needs of our population. You will have a calm, confident and helpful manner with excellent communication skills along with the ability to problem solve and work under pressure. You will be educated to a good standard and must have excellent IT and keyboard skills.

The role is offered over 30 hours per week to be worked over 5 days Monday to Friday and flexibility will be required to cover periods of sickness and annual leave.

Main duties of the job

Working as part of the Clinical Admin team, the postholder will work closely with clinical colleagues in order to support the smooth flow of information in order to contribute to the provision of data for clinical registers and QOF reports, SARS and summarising patient records. This role will also provide a admin support for the Safeguarding Lead and QOF groups and other clinical administrative work as necessary.

You will have regular patient contact dealing with queries and passing on information to and for patients and regular contact with other NHS organisations. Other clinical admin work may also be undertaken subject to the needs of the Practice.

As part of a large Practice Team you must be able to work as a team player but also use your initiative within the confines of the Practice Policies and Procedures. The successful candidate must have strong IT skills and be either able to use our EMIS clinical software or happy to learn, have excellent keyboard skills and have a confident telephone manner and good, face to face interpersonal skills.

Proven experience of working in general practice and/or customer services as well as secretarial skills are essential.

Burnley Group Practice is a large training practice based over three sites in Burnley - at St Peter's Centre, on Manchester Road and in Kiddrow Lane Health Centre. Staff may be required to work at all three sites subject to the needs of the Practice.

Job responsibilities

Working as part of an established admin team, this post will support the smooth flow of information with specific responsibilities as outlined below.

Main

Duties & Responsibilities:

  • To support the Safeguarding Lead, monitoring emails and generating reports as required.
  • Ensure systems are in place with regards receipt and actioning of Solicitor Reports in line with legal requirements and liaising with other staff as necessary.
  • Complete SARS requests in line with Practice procedures and ensuring timescales are adhered to.
  • Support the Practice Manager in anonymising patient records in respect of complaints, Coroners requests etc.
  • Summarise patient records using appropriate coding in line with Practice processes and procedures.
  • Participate in clinical and Practice audits, running searches and providing data as necessary.
  • Direct contact with patients and other NHS organisations to manage patient queries and information generated

Provide clerical assistance to Practice Staff as required from time to time and undertake other clinical admin work as required.

Person Specification Qualifications
  • Candidates must have previous experience in a secretarial/ admin role as well as with working with the public in a customer service setting.
  • You must have excellent communication skills both verbal and written and an excellent telephone manner.
