Job overview
The post holder will work as a member of a team providing a comprehensive reception service to the public.
The duties will also include administrative, clerical and secretarial support to the health professionals predominately with the Gynaecology Same Day Emergency Care Service (inc EPAU) however cover over the wider gynaecological service may be required
Main duties of the job- Provide front-line reception support for patients attending the Emergency Gynaecology Unit.
- Register patients accurately using Trust electronic systems.
- Answer and manage telephone calls, emails and patient enquiries.
- Book, amend and cancel appointments and follow-up attendances.
- Maintain accurate patient records and administrative documentation.
- Support patient flow and coordinate clinic attendance processes.
- Communicate effectively with clinical teams regarding patient arrivals and urgent concerns.
- Provide compassionate support to patients who may be distressed or vulnerable.
- Ensure confidentiality and compliance with information governance standards.
- Assist with general administrative duties to support the smooth running of the service.
- Escalate concerns, incidents or delays appropriately to senior staff.
- Provide cross-cover and administrative support within Women’s Services as required.

Detailed job description and main responsibilitiesThe post holder will provide a professional, efficient and compassionate reception and administrative service within the Emergency Gynaecology Unit. They will act as the first point of contact for patients, relatives, carers and healthcare professionals, ensuring all enquiries are managed appropriately and sensitively.
The role is essential in supporting the smooth day-to-day running of the service, maintaining patient flow, coordinating appointments and ensuring accurate patient information is recorded in line with Trust policies and confidentiality standards.
The post holder will work closely with nursing, medical and administrative teams to support safe, effective and patient-centred care within a busy and often emotionally sensitive environment.
Key Responsibilities Reception Duties- Provide a welcoming, professional and sensitive reception service to patients attending the Emergency Gynaecology Unit.
- Greet and register patients promptly on arrival using Trust electronic systems.
- Verify and update patient demographic information accurately.
- Manage patient arrivals, clinic lists and waiting areas effectively.
- Inform clinical staff of patient arrivals and elevate urgent concerns appropriately.
- Ensure patient confidentiality and privacy are maintained at all times.
- Book, amend and cancel appointments in accordance with service procedures.
- Manage incoming and outgoing telephone calls in a timely and professional manner.
- Respond to patient queries and direct enquiries appropriately.
- Process referrals, clinic outcomes and follow-up appointments accurately.
- Maintain accurate electronic and paper records in line with Trust standards.
- File, scan and upload documentation onto electronic patient record systems.
- Support preparation and coordination of clinic lists and patient notes.
- Monitor shared inboxes and action requests appropriately.
- Communicate effectively and compassionately with patients who may be distressed, anxious or vulnerable.
- Liaise with medical, nursing, sonography and administrative teams regarding patient attendance and service coordination.
