Salary/Hourly Rate: $46,800-$48,000 annually

Position Status: Full-Time
Location: Burtonsville, MD
Position OverviewThe Lead Scheduler is responsible for managing the daily scheduling operations of the mentor program. This role ensures that shifts are appropriately assigned, mentors adhere to attendance policies, and scheduling documents remain updated. Additionally, the Lead Scheduler serves as a key liaison between mentors and leadership, ensuring smooth communication and effective shift management. This position is crucial in ensuring smooth scheduling operations and effective mentor support.

- Build out weekly youth schedule by Wednesday at 5pm
- Build out weekly mentor schedule by Friday at 5pm
- Call mentors for additional availability and shift coverage
- Check shift tasks for completion.
- Monitor and approve clock-in and clock-out records.
- Approve and manage edit requests for shift corrections.
- Ensure mentors submit notes within an hour of shift end and send reminders via Connecteam (Mentor Chat).
- Actively monitor the Scheduler APY Group Chat, Help Desk, and Mentor Chat to address issues promptly.
- Send shift updates and notices to mentors as needed.
- Maintain open communication with the scheduling team for immediate updates and changes.
- Update all scheduling documents consistently upon task completion.
- Conduct regular audits of the schedule to ensure accuracy and efficiency.
- Identify and fix scheduling inconsistencies, ensuring proper coverage.
- If mentors have not submitted availability in 30 days, call them to confirm their continued interest.
- Send a weekly email every Friday listing individuals who have not submitted availability and address any suspensions or mentors unable to work with youth.
- Process reimbursement requests during or shortly after each shift.
- Assist with administrative projects as needed.
- Create and send calendar invites for mandatory training meetings, using the designated template.
- Ensure compliance with all scheduling protocols and mentor attendance policies.
- Assist in reviewing timesheets and ensuring that the shift logged matches the shift worked, the hours scheduled matches the hours worked, make sure it matches the schedule, to be conducted daily.
- Strong organizational and time-management skills.
- Experience in scheduling, administrative coordination, or workforce management.
- Proficiency in using scheduling software and communication tools (e.g., Connecteam, Google Calendar, and internal scheduling platforms).
- Excellent attention to detail and problem-solving skills.
- Strong verbal and written communication skills.
- Ability to handle a fast-paced work environment and adapt to last-minute changes.
- Experience working in mentorship, youth services, or social work is preferred but not required.
- Experience in conflict resolution and team coordination.
- Ability to analyze scheduling trends and recommend efficiency improvements.
- Familiarity with PRN scheduling models and contractual workforce management.
- Full Time Schedule (Monday – Friday) (8am – 4pm or 9 am – 5pm)
- Work is hybrid within Maryland.
- Bachelor’s degree in human services, nonprofit management, social work, business, education, or related field, or other combinations of relevant education and experience may be considered with a minimum of at least three (3) years of combined education and experience as a program manager.
