Campus Coordinator (Residential Only)
Contract:
Full Time, Fixed Term (4‑8 weeks)
- Represent the company professionally at a local level.
- Act in a professional and appropriate manner with all of Language in Action/Malvern International’s agents, clients, students, host‑campus staff and Language in Action staff; not to engage in any activity which may bring Language in Action/Malvern International or the host campus into disrepute.
- Wear the Language in Action uniform.
- Complete mandatory online training, attend a training day, or days, prior to the start of the course, and thereafter to attend any staff meetings deemed necessary by the on‑site management team.
- Read, be fully conversant with, and act in accordance with the staff handbook, company policies, relevant Child Protection documents and all risk assessments prior to the start of the period of employment (documents supplied prior to the start of employment). Remaining vigilant in all matters of student welfare and reporting issues or concerns to an appropriate member of staff.
- Act always in accordance with the company policies outlined in the staff handbook and with the safeguarding policy to ensure the safety and well‑being of all students. Maintaining an approachable, but professional and appropriate attitude towards all students, group leaders and staff.
- Ensure that the company’s Health and Safety guidelines are followed, both on campus and when students are on off‑site excursions.
- Ensure that students adhere to the code of conduct laid down by the company and report any incidents of misbehaviour to the appropriate member of staff.
- Be involved in any activity necessary for the smooth running of the centre.
- Assist with the set‑up, opening and closure of the centre.
- Deliver campus inductions for students and group leaders.
- Create the Campus Team member rota on a weekly basis for approval by the Centre Manager.
- Be familiar with, and adjust where necessary, all risk assessments related to campus and student activities.
- Plan for, organise, deliver, and participate in on‑campus activities including but not limited to the following:
- Source or acquire equipment and/or provisions for activities ahead of time
- Book, request or hire venues or spaces for activities.
- Hold regular meetings with Campus Leaders.
- Ensure Campus Leaders have the knowledge, skills and equipment necessary to deliver campus activities.
- Plan for, organise, deliver, and fully participate in off‑campus evening excursions including but not limited to the following:
- Review and amend excursion sheets prior to excursion day
- Ensure Campus Leaders have the knowledge, skills and equipment necessary to deliver off‑campus activities and excursions
- Manage finances related to the Campus division of the centre and maintain accurate reconciliation of all expenditure in line with company policies.
- Collect and select photos and videos of tours for social media use in line with company policies.
- Attend regular management meetings scheduled by the Centre or Programme managers.
- Host regular Agency Group Leader meetings alongside the management team
- Maintain clear avenues of regular communication with Agency Group Leaders, Campus Team leaders, and the management team.
- Coordinate all aspects of arrivals and departures on campus, including but not limited to the following:
- Room checks prior to student arrival.
- Student check‑in and registration.
- Campus tours.
- Sit with and engage with students, group leaders and Campus Leaders at mealtimes.
- Perform regular Campus Leader observations and organise feedback one‑to‑one sessions with each Campus Leader team member.
- Familiarise yourself with the campus and the local area or nearest town.
- Work with the Language in Action management team and leaders at the centre and develop a friendly and co‑operative atmosphere.
- Engage with the students in a friendly but professional manner.
- Assist the Centre Manager with any administrative tasks as they see fit.
- Prepare and update the Language in Action noticeboards and signs around the centre to ensure students and leaders are kept informed…
