Location: Magor

The Logistics & Export Administrator is responsible for the day-to-day coordination of domestic and international logistics activities, ensuring the efficient movement of stock, equipment and customer assets whilst maintaining compliance with all applicable import, export and customs regulations. The role acts as a key interface between customers, internal stakeholders, warehouse partners, freight forwarders, suppliers and Importer/Exporter of Record service providers. The post holder will support global logistics operations through accurate administration, shipment coordination, inventory management, compliance monitoring and customer communication.

The successful candidate will contribute to the delivery of Indigo's logistics services by ensuring shipments are processed efficiently, stock records are maintained accurately, regulatory requirements are met and customer expectations are exceeded, and at times will be required to take on any additional duties which may be considered within the remit of the role. This position is based at the Indigo headquarters in Magor, South Wales and occasional travel may be required.

Logistics

Operations
  • Coordinate inbound and outbound shipments across domestic and international locations.
  • Monitor and manage shipment progress from collection through to final delivery.
  • Liaise with freight forwarders, couriers, warehouse providers and suppliers to ensure timely service delivery.
  • Manage and prioritise the logistics shared mailbox and customer enquiries.
  • Support inventory management activities including goods receipt, stock transfers, stock adjustments and stock investigation requests.
  • Monitor minimum stock levels and escalate shortages where appropriate.
  • Coordinate customer repair cycles and returns processes.
  • Support the storage, calibration and distribution of company tooling, PPE and engineering assets.
  • Ensure logistics records are maintained accurately and in accordance with company procedures.
Export & Trade Compliance
  • Prepare and review export documentation including commercial invoices, packing lists, certificates of origin and transport documentation.
  • Assist with import and export customs declarations and customs clearance activities.
  • Verify commodity codes, country of origin information and applicable customs requirements.
  • Support compliance with UK and international import/export regulations.
  • Maintain records relating to export controls, licences and proof of export.
  • Liaise with Importers of Record (IOR), Exporters of Record (EOR), customs brokers and freight partners as required.
  • Support the management of export licences and trade compliance documentation.
  • Monitor regulatory changes and escalate requirements that may impact logistics operations.
  • Assist with customs duty, VAT and trade documentation enquiries.
  • Ensure all shipment records are retained in accordance with company compliance requirements.
Customer & Supplier Management
  • Build and maintain professional relationships with customers, suppliers and logistics partners.
  • Provide shipment status updates and proactively communicate delivery exceptions.
  • Support customer quotations and logistics cost enquiries where required.
  • Escalate service issues and work collaboratively to identify corrective actions.
  • Ensure customer requests are managed professionally and within agreed service levels.
Administrative Responsibilities
  • Maintain accurate logistics records, reports and tracking information.
  • Produce management information relating to shipments, inventory and service performance.
  • Assist with logistics performance reporting and KPI production.
  • Create and maintain process documentation and work instructions.
  • Support audits and compliance reviews as required.
  • Contribute to continuous improvement initiatives across logistics and trade compliance activities.

  • Report hazards, incidents and non-conformances in a timely manner.

Essential Skills, Knowledge & Experience
  • Previous experience within logistics, supply chain, export administration or freight operations.
  • Experience preparing shipping and customs documentation.
  • Strong organisational and administration skills with excellent attention to detail.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong communication skills with customers and suppliers.
  • Proficient in Microsoft Office applications including Excel, Outlook and Teams.
  • Ability to work independently and use initiative to resolve problems.
  • Good understanding of customer service principles.
  • Strong written and spoken English.
