Role DescriptionAs a Residential Property Administrator at Equium Group, you will provide essential administrative support to the residential property management team. This role ensures the efficient day-to-day operations of residential assets by coordinating communications, maintaining records, and delivering exceptional service to residents, vendors, and internal stakeholders.
Key Responsibilities- Act as the primary point of contact for tenant inquiries, complaints, and service requests.
- Follow up on lease renewals
- Move in inspection with new tenants
- Assist with tenant onboarding, including collection of documents, proof of insurance, proof of Utilities and key handovers.
- Issue notices related to inspections, rent increases, and policy violations.
- Track lease expiration dates and coordinate timely renewals.
- Prepare and distribute lease renewal documentation, addendums, and amendments.
- Receive and log maintenance requests; prioritize and dispatch to vendors or internal technicians.
- Schedule regular unit inspections, move-in inspections, and maintenance work.
- Follow up on service completion and ensure tenant satisfaction.
- Maintain records of all service work and vendor invoices.
- Assist Property Manager with reporting, communications, and property-level documentation.
- Update property management software with tenant, lease, and maintenance data.
- Prepare correspondence including notices, memos, and community updates.
- Manage the distribution and collection of access devices (keys).
- Program intercom on move ins
- Liaise with approved contractors and service providers for quotes and service appointments.
- Assist in ensuring the property complies with local building codes, health and safety regulations, and landlord-tenant legislation.
- Issue notices of entry
- Report safety hazards and assist in emergency response coordination.
- Provide a welcoming and respectful environment for residents.
- Support community-building initiatives like community garden, park and play
- Handle escalated concerns professionally, ensuring prompt and effective resolution.
- Minimum 2–3 years of administrative experience in a property management or real estate setting.
- Strong organizational skills with the ability to multitask in a fast-paced, high-volume environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and familiarity with property management software (e.g., Yardi, Buildium, App Folio).
- Knowledge of the Alberta Residential Tenancies Act is a strong asset.
