Overview

Reporting to the Senior Manager, Supportive Living and Campus Operations, the Employee Scheduler is responsible for managing the casual and floater employee workforce across all Silvera communities. The goal is to ensure cost-effective and optimal workforce utilization to maintain quality services for all Silvera residents. This position provides support to all Community Leadership in managing the employee scheduling function, including workforce planning, scheduling, and/or (re) deployment.

Responsibilities
  • Comprehend workforce requirements, job roles, and staffing structures for all Silvera communities.
  • Study schedules and staffing requests to ascertain workforce requirements. Interface with Community Leadership to better understand Community/Resident requirements and adjust schedules as needed.
  • Receive vacation, sick, and other absence requests to appropriately arrange employee schedules. Consider time sensitivity of requests to maintain safe and efficient community operations. Ensure all staffing requests for casuals and floaters are coordinated via this position.
  • Examine employee availability and skill sets and align staffing requests based on Community requirements. Confirm shifts with employees to ensure all shifts are filled with the right employees for the right position across all communities.
  • Assignment considerations may include availability, duration of assignment, skill set, job classification, seniority, and shift. Determine, record, and assign work assignments.
  • Produce reports on shift coverage and performance on a quarterly basis.
  • Monitor vacant shifts and adjust casual/floater rotations as required. Ensure casuals are scheduled first and part-time employees second for shift coverage.
  • Monitor and assess absence management patterns to ensure appropriate coverage. Collect and monitor scheduling data identifying trends and areas of concern for appropriate management.
  • Ensure employee scheduling and assignments follow all company policies and Alberta Employment Standards.
  • Alter schedules to meet emergencies caused by extended leave or increased workforce demands while minimizing overtime.
  • Be an active participant with the employee resource working group, providing data which informs scheduling and recruitment priorities and needs to People & Culture (HR).
  • Assist with required training to ensure the company’s commitment towards safety and quality is maintained.
  • Support system training, facilitation and change with HRIS System Scheduling.
  • Develop scheduling-related training for casuals, floaters, supervisors, and managers.
  • Maintain a company-wide employee user guide for the HRIS system.
  • Be a "Subject Matter Expert" in the Scheduling module of HRIS, with testing, new implementations and builds in the system.
  • Other duties as assigned.
Qualifications
  • Minimum two (2) years of experience with employee scheduling in combination with a post-secondary diploma in Business or Office Administration. An equivalent combination of education and/or experience may be considered.
  • Working knowledge of Alberta Employment Standards is desirable.
