Legal Document Specialist
Osler, Hoskin & Harcourt LLP is one of Canada’s leading business law firms. We are recruiting for a Legal Document Specialist to provide after‑hours technological support. The role requires an enthusiastic individual with the ability to produce high volumes of quality work under tight deadlines, excellent technical skills (MS Office), and a team‑oriented mindset. This position operates in a hybrid arrangement, requiring primarily office work and flexibility to work remotely up to two days per week.
MajorResponsibilities
- Creating, revising and formatting documents to firm standards.
- Converting PDFs to Word or Excel documents; cleaning and formatting the conversion.
- Running various black‑lines/comparisons of documents.
- Troubleshooting problem documents.
- Answering the Document Support line, monitoring inboxes for work, and providing primary document support to legal assistants and legal professionals within the firm.
- Ensuring work product is high quality and technical skills are kept up to date; adopting practices, taking accountability to eliminate errors and rework, and expanding technical expertise by participating in training relevant to your role.
- Proofreading work and ensuring all corrections are made prior to returning the assignment.
Education and Experience
Legal Secretarial program certificate plus at least 5 to 7 years of experience in a professional, service‑oriented office environment or an equivalent combination of education, training, and experience.
Knowledge and Skills
- Excellent interpersonal and communication (written and verbal) skills.
- Ability to learn, understand, and adhere to internal office procedures.
- Customer‑service oriented with a professional manner and diplomacy skills.
- Excellent attention to detail and well‑developed proofreading skills.
- Organizational and time‑management skills to multi‑task.
- Excellent knowledge of computer applications and basic office equipment with proficiency in Microsoft Office and Adobe Acrobat.
Hours
- Wednesday and Thursday: 4:00 PM – 11:30 PM
- Friday: 3:00 PM – 10:30 PM
- Saturday: 9:00 AM – 5:00 PM
- Sunday: 12:00 PM – 8:00 PM
- Some overtime may be required.
