Document Controls Manager

Location:

Calgary, AB

We are looking for a Document Controls Manager who will be responsible for leading and managing a team, interacting with internal and external stakeholders on a broad range of projects, including Small/Mid/Large Program Management, Design Build, EPC or EPCM projects within Transportation, Infrastructure and vertical Construction business sectors. The successful candidate must also be highly detail‑oriented and organized with excellent analytic and problem‑solving abilities, and demonstrate independence and self‑motivation in executing daily job duties with minimal direction and oversight.

What a day at EXP has in store for you
  • Performs standard administrative functions.
  • Cross‑train and support other support function positions as requested.
  • Covers other support function positions as requested.
  • Coordinates the printing and distribution process for engineering drawings and documents.
  • Performs basic system maintenance and access requests.
  • Develops and distributes meeting minutes and correspondence.
  • Maintains a computer database of all filed documentation that ensures fast retrieval of documents.
  • Organizes and sets up new projects with approved directories with appropriate security levels.
  • Works with Project Managers to structure document and submittal logs with the proper reviewers/approvers and due dates.
  • Monitors and follows up on past‑due document and submittal deliverables.
  • Mentors and trains new staff and project team members on systems and processes as requested.
  • Assists Procurement department with setup of bid packages within the document control system.
  • Updates user and vendor directories.
  • Sets up and supports meeting minutes and reports.
  • Creates scheduled and ad‑hoc reports as needed.
What Your Experience Looks Like
  • 7+ years of experience in project controls within infrastructure, construction, or related sectors.
  • Software knowledge:
    Procore, Adobe Pro, Excel, Word, PowerPoint, SharePoint.
  • Quality control of own work.
  • Ability to establish and maintain effective working relationships.
  • Ability to perform assigned responsibilities with minimal to moderate supervision.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
