We are hiring a 6-Month Term Occupational Health & Safety Administrator position based out the Calgary Airport.

As a vital member of the safety team, the Occupational Health and Safety (OHS) Administrator provides administrative and coordination support to the Occupational Health and Safety team in the delivery of workplace health and safety programs within a federally regulated, unionized environment. This role supports the OHS Manager and OHS Coordinator by assisting with documentation, tracking, reporting, communication, file maintenance, and follow-up related to health and safety activities.

The OHS Administrator plays an important role in maintaining accurate records, supporting safety initiatives, and helping ensure OHS processes are organized, timely, and consistent across the organization.

Responsibilities

  • Provide administrative and coordination support to the OHS Manager and OHS Coordinator in the delivery of occupational health and safety programs and initiatives.
  • Prepare, organize, and distribute OHS communications, bulletins, and related resources.
  • Maintain accurate OHS records, trackers, spreadsheets, templates, and electronic filing systems.
  • Assist with incident, near-miss, hazardous occurrence, modified duties, return-to-work, and claims-related documentation.
  • Communicate with employees, managers, and internal stakeholders to support timely completion of OHS administrative tasks.
  • Assist with organizing and maintaining OHS training records, safety resources, departmental materials, and internal reference documents.
  • Monitor assigned follow-up items, including outstanding documentation, corrective actions, and administrative tasks.
  • Support OHS processes within a federally regulated, unionized, and safety-sensitive workplace environment.
  • Maintain confidentiality when handling employee, health and safety, claims-related, and other sensitive information.
  • Support continuous improvement of OHS administrative processes and perform other related duties as assigned.

Requirements

  • Must possess a High School Diploma. An additional diploma/degree/certificate or training in Occupational Health and Safety would be considered an asset.
  • Previous administrative experience required, preferably in a health and safety, claims, disability management, operational, or regulated environment.
  • Familiarity with Federal and Provincial OHS legislation, workers’ compensation processes, modified duties, or OHS best practices would be considered an asset.
  • Excellent attention to detail and accuracy in data entry, documentation, tracking, and file management.
  • Strong working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, Teams, Outlook, and Office 365.
  • Ability to work independently while also collaborating effectively as part of a team.
  • Strong written and verbal communication skills, with the ability to interact professionally and respectfully with employees, managers, and applicable stakeholders.
  • Ability to handle confidential and sensitive employee information with professionalism, diplomacy, and discretion.
  • Ability to acquire and maintain a Transportation Security Clearance (TSC).
