The Department of Political Science in the Faculty of Arts invites applications for a Administrative Assistant
. This Part-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.
This Part-time Fixed Term position reports to Dr. Jennifer Leason, PHD, Professor and CIHR Canada Research Chair Tier II in Indigenous Maternal Child Wellness.
The administrative support staff will be responsible for assisting with the administration of Indigenous health research projects including (but not limited to) organizing meetings, agendas and travel, email and communications, budgets and reconciling accounts, and contributions to transcription of meeting minutes, interviews, filed notes and related data storage.
The incumbent will work out of the Indigenous Maternal Child Wellness (IMCW) office located at the University of Calgary 2.5 days per week while supporting Dr. Jennifer Leason and her research teams, and will report directly to Dr. Jennifer Leason.
The key purpose of this position is to provide administrative support to the Indigenous Maternal Child Wellness (IMCW) team and office located at the University of Calgary wo and half days per week while supporting Dr. Jennifer Leason. The incumbent will report directly to Dr. Jennifer Leason.
Summary ofKey Responsibilities (job functions include but are not limited to):
Administration (100%)
- Support Dr. Leason with email and responses, as well as manage Dr. Leason's calendar and meeting requests.
- Assists with project budget management by processing financial requisitions, tracking and projecting project expenditures
- Manages the administration and organization of all team and/or stakeholder meetings
- Ensures currency of all modes of communication (website, social media engagement, email list serves, online newsletters, etc)
- General office duties include but are not limited to: answering telephone, dealing with enquires, shredding, service requests, order supplies, financial requisitions, sort mail, cash deposits, room bookings and other tasks as required.
Required:
- Training in computer skills, including proven experience with MS Office (Word, Excel, PowerPoint) and People Soft (Finance, Student Information System).
- General knowledge of the University policies/procedures.
- Undergraduate degree required, Graduate degree preferred.
- Minimum 2 - 4 years of related experience in a research setting supporting research activities.
- Demonstrated proficiency in budgeting, and reconciling accounts.
- Effective oral and written communication.
- Exceptional interpersonal skills, including cultural safety and competency.
- Proven ability to exercise initiative and ability to work both independently and within a team environment.
- Ability to exercise tact, discretion and confidentiality in dealing with external agencies and researchers.
- Demonstrated ability to clearly and concisely write emails, reports, letters, and other materials.
- Effective time and project management skills, including the ability to meet timelines and deadlines.
- Proven organizational skills.
- Accuracy and attention to detail.
- Ability to set priorities and deadlines.
- Indigenous lived experience is preferred (self-identity as Indigenous and/or experience living /working with Indigenous peoples and/or communities).
- Knowledge of University of Calgary core business systems Knowledge Requirements.
- Extensive knowledge and understanding of Indigenous Peoples in Canada, their cultures, histories and traditions.
- Understanding and knowledge of Indigenous issues, and norms and standards relevant to promotion and protection of Indigenous women's rights.
- Knowledge and understanding of contemporary issues facing Indigenous peoples in Canada, particularly issues surrounding infant and maternal health.
- Familiarity and experience with knowledge translation and community engagement.
- Familiarity and understanding of the social determinants of health.
