The Olympic Oval in the Faculty of Kinesiology is currently seeking Two (2) recurring part‑time Guest Relations Attendants.

The Olympic Oval is the premier Winter Olympic legacy facility from the 1988 Winter Olympic Games as part of the University of Calgary’s Faculty of Kinesiology. The facility provides programs and services for a number of local, national, and international stakeholders and is home to high‑performance athletes, world‑class high‑performance programs, and excellent research efforts. The Oval provides a dynamic environment for Faculty of Kinesiology programs including Dino Athletics, Active Living, and various Faculty courses and research initiatives.

The Olympic Oval brings international recognition to the University of Calgary through hosting major international world‑class events, training Olympic athletes, and ongoing development of high‑performance programs. Additionally, the Olympic Oval is recognized locally as a major part of the Calgary community, providing public skating, events, and bookable spaces for various public user groups and entities.

This recurring part time Alberta Union of Provincial Employees (AUPE) position reports to the Team Lead, Sport Partner & Guest Relations. The dynamic position may be assigned to shifts at the front desk, assisting guests in the weight room, or on‑ice customer service (Ice Patrol). The Guest Relations Agent position requires the ability to work weekdays, evenings, and weekends. The Olympic Oval’s peak season is August to March due to extremely high customer volumes, speed skating competitions, and high‑performance athlete training.

Key Responsibilities Administrative Skills
  • Operate the POS system for skating admissions, athlete fees and other monetary transactions.
  • Complete opening and closing duty checklists, balance cash outs and provide proper reporting for your shift.
  • Organize and keep the facility tidy (front office, weight room, weight cage, and stretching mats).
  • Use office equipment including printers, photocopiers, and fax machine.
  • Respond pleasantly, accurately and professionally to general telephone, email, in‑person inquiries, and requests from staff and guests.
  • Manage couriers and prepare outgoing mail.
  • Use a hand‑held radio for within‑facility communications.
  • Ensure guests are adhering to policies and procedures; educate on safety protocols as required.
  • Additional duties as assigned by supervisor.
Guest Experience
  • Engage guests throughout the Oval to ensure a premium guest experience. Assigned areas may include the front office, weight room/cage, track/sprint pads, skate shop and on‑ice.
  • Control access to the facilities by understanding the guests and partners in the building as well as learning and using internal scheduling programs.
  • Maintain a professional appearance and attitude.
  • Engage in on‑ice guest activations including public skating and special events.
  • Know and enforce Olympic Oval policies and educate guests on safety protocols.
  • Assist operations during first‑aid calls, Zamboni crossings and other situations as required.
  • Approach and diplomatically suggest corrections on any improper or dangerous techniques being used on the ice, weight‑room floor, stretching mats or equipment by patrons in accordance with Oval guidelines.
  • Maintain strong lines of communication with operations, competitions, programs and leadership to ensure a holistic, positive guest experience.
  • Assist with maintaining cleanliness and organization throughout the facility during operating hours.
  • During busy times, support Oval Guest relations colleagues in their roles as directed by your supervisor.
Emergency Procedures
  • Initiate proper emergency and incident procedures.
  • Document all emergencies and incidents on forms provided and forward them to the Facility manager.
Qualifications / Requirements
  • Proven strong communication skills and previous experience in a customer service environment.
  • Excellent organizational and multi‑tasking skills.
  • Ability to work independently and prioritize, as well as work with a team.
  • Kinesiology student, sport experience and/or speed skating knowledge is an asset.
