Veterinary Client Care Specialist, Referral Coordinator

Western Veterinary Specialist & Emergency Centre is welcoming a Client Care Specialist, Referral Coordinator Hybrid to join our hospital. This full-time opportunity includes a range of responsibilities which directly contribute to the efficient and effective daily operation of the hospital.

Your primary responsibility is to ensure our clients and their pets feel welcomed, expertly cared for and appreciated! Working alongside our Client Care Team and our Lead Referral Coordinator, this hybrid position will include being involved in the management of all referred cases in order to enhance the client’s experience with the hospital. The referral coordinator will perform all daily duties involved in serving clients, including using electronic applications to manage referrals, track appointments, and book appointments.

• Create a warm and welcoming environment for our patients and pet parents
• Ability to answer a multiline phone system and track and book appointments effectively
• Excellent customer service skills; a real aptitude for putting people at ease and creating a welcoming environment
• Strong organizational skills
• Scheduling and confirming appointments.
• Processing incoming referrals.
• Handling client inquiries.
• Providing client education materials.
• Work with clients and veterinarians to resolve problems.
• Support our Client Care Specialist team and should be familiar with all operations within this team.
• Act as an ambassador, representing all staff/services offered in the practice.
• Be the first point of contact for our referral clients, thereby significantly impacting their experience with the hospitals.

• High School Diploma
• Fluent in English (Reading, Writing and Oral)
• Working knowledge of Microsoft Office, Excel, and email
• Experience in client service in a Veterinary practice
• Preference given for experience in a Specialty/Referral veterinary hospital
• Veterinary Office Assistant certificate or related education preferred
