Medical Office Assistant – Full-time Limited Term (24 months)
The Sport Medicine Centre in the Faculty of Kinesiology is seeking a full-time limited term Medical Office Assistant. This position reports to the Clinic Manager and is part of the AUPE Collective Bargaining Unit. The role involves providing medical administrative services to 2–3 pediatric orthopedic surgeons, booking patients for clinical appointments, scheduling surgeries through AHS Connect Care, managing patient care coordination, and serving as the key contact for the surgical practices.

Key Responsibilities
- Assist with minor procedures, including brace fitting, preparing EMR charts, and taking patients to examination rooms.
- Book surgeries, tests, and referrals and screen calls between patients and physicians.
- Prepare patients for visits, ensure all investigations are scanned into EMR prior to appointments.
- Support the ordering of supplies, assist with project tasks as assigned.
- Troubleshoot clinical operations and assist the IT department with the medical software program.
- Assist patients in and out of rooms and assume the Clinic Manager’s clinical responsibilities as needed.
- Provide support to co‑workers during high‑stress situations and help meet deadlines.
- Adapt to changing policies, procedures, and technology.
- Maintain good attendance and punctuality.
- Medical assistant certification or equivalent experience of at least five years, preferably in a pediatric or high‑volume surgical practice.
- Experience with Electronic Medical Records, including AHS Connect Care.
- Strong multitasking, time‑management, and organizational skills.
- Calm, patient‑centered approach under pressure.
- Meticulous attention to detail and clinical accuracy.
- Professional discretion and respect for confidentiality.
- Team‑oriented with the ability to work independently.
- Excellent communication skills with patients and families; compassionate demeanor.
- Healthcare‑related education, certifications in BCLS, WHMIS, CPR, and First Aid (asset).
- Strong judgment and ability to handle multi‑tasking demands.
- Capacity to work with internal and external stakeholders in a respectful manner.
