Medical Office Assistant – Sports Medicine Centre
The Sports Medicine in the Faculty of Kinesiology is currently seeking a Full-time Limited Term Medical Office Assistant for approximately 24 months.
This position reports to the Clinic Manager and is part of the AUPE Collective Bargaining Unit. This is a Full Time Limited Term position with a 35-hour work week.
The Sport Medicine Centre is an integrated and multidisciplinary clinical, education and research facility within the Faculty of Kinesiology, specializing in the treatment and rehabilitation of sport-related and other musculoskeletal injuries. The Sport Medicine Centre provides comprehensive sport medicine, surgical, physiotherapy, and other health care services to Olympic, professional and amateur athletes, recreationalists and other patients referred to us through the health care system in Calgary and southern Alberta.
This position provides assistance to sport medicine physicians or other physician through assisting with patient care and completing administrative duties. The high volume of work is consistent over the year. Stressors include variation and volume of work, multiple priorities, and numerous deadlines. There is a high volume of telephone calls, interruptions and interaction with the public and co-workers. The ability to work in a team environment is important to the successful completion of various tasks for which this position is accountable.
In addition, the successful applicant must be able to perform accurate work under stress, have a demonstrated ability to show initiative, good judgment, and decision-making. The position requires the ability to assume responsibility for task completion, work independently, be highly organized, and exercise tact and courtesy in dealing with patients, staff and physicians. Good verbal and written communication skills is essential along with experience operating standard office equipment commonly found in a medical clinic.

Key Responsibilities
- Responsible for assisting with minor procedures, including brace fitting, the preparation of EMR charts, taking patients to examination rooms and prepping patients for their visit, booking appointments and tests, managing referrals to other physicians, screening calls between patients and physicians and taking messages.
- All duties are confidential and some are of a sensitive nature. The incumbent is responsible for providing and performing quality service to the Centre's stakeholders in an effective, efficient, and empathetic manner.
- Ensuring all investigations are available and scanned into EMR prior to patient arriving for his/her appointment.
- Assists with the ordering of supplies needed for the department.
- Assists with projects as determined from time to time.
- Assists IT department with general trouble shooting questions regarding the clinical operations and the medical software program.
- Assists patients in and out of rooms.
- Assumes clinical responsibilities of the Clinic Manager from time to time.
- Demonstrates knowledge in own field by successfully applying this to operations and activities.
- Provide support to co-workers during high stressful situations and assists them to meet their deadlines.
- Adapts to changing policies and procedures as needed.
- Adapts to changing technology as needed.
- Maintains good attendance and punctuality.
- Completion of Grade 12 education with related training in health care.
- At least five years of related experience supporting physicians and delivering patient care in a medical setting.
- Healthcare related education or certification is an asset.
- A clear speaking voice and pleasant manner along with good communication skills are required to ensure information is accurately received and given by all forms of communication.
- Good judgment and strong organizational skills are essential to successfully handle the multi-tasking nature and requirements of this position.
- Ability to work in a team environment with stakeholders internal and external to the Centre is mandatory, including respectful interactions with co-workers, patients and other stakeholders at all levels.
