Role Description

The Medical Office Assistant is a full-time, on-site role based at Argyle Medical Clinic in Calgary, AB. This role supports the daily operations of the clinic by greeting patients, answering phone calls, and managing appointment scheduling. The Medical Office Assistant coordinates patient flow, verifies insurance information, updates medical records, and ensures accurate data entry in clinic systems. Responsibilities include preparing patient charts, handling referrals and follow-up communications, processing payments, and providing administrative assistance to clinicians and other staff.

The role also involves maintaining a clean and organized reception area, safeguarding patient confidentiality, and responding to patient inquiries in a professional and courteous manner.

Qualifications
  • Strong Phone Etiquette skills, including professional, clear, and courteous communication with patients and external partners.
  • Proficiency in Appointment Scheduling and managing patient flow using electronic medical record or practice management systems.
  • Working knowledge of Medical Terminology to accurately understand, record, and communicate clinical information.
  • Experience with Insurance Verification, billing processes, and basic understanding of healthcare coverage and documentation.
  • Administrative Assistance skills, including data entry, filing, record management, and handling confidential information.
  • Previous experience in a medical office or healthcare setting is an asset.
  • Strong organizational skills, attention to detail, and ability to prioritize multiple tasks in a busy environment.
  • Comfort with basic computer applications (e.g., EMR systems, email, scheduling software, spreadsheets).
  • Demonstrated ability to work collaboratively in a diverse team and provide respectful, inclusive service to all patients.
  • Completion of a Medical Office Assistant or related healthcare administration program preferred.
