Our valued law firm client is seeking a Legal Assistant for a full‑time position to support a dynamic practice group. The successful candidate will have exposure to Business Law and/or Corporate Commercial transactions.
Primary Responsibilities- Organize and expedite the flow of work through the professional’s practice, initiating any follow‑up action as appropriate
- Proactively monitor emails to keep current on file developments; maintain calendars, including making or changing appointments, organizing meetings and arranging facilities, and preparing documentation
- Provide administrative assistance and coordinate the logistics of client meetings, make travel and hospitality arrangements as required
- Manage new file setup, including gathering and researching information for client intake process, workspace management, creating and managing files in document management system
- Coordinate flow of documents between legal professionals, including drafting, formatting, finalizing and distributing documents, correspondence and materials; effectively utilize document production services and other resources for lengthy document production activities
- Administer client accounts by ensuring time entries are submitted, following up on delinquent time charges with other group members, reviewing and editing prebills, preparing invoices for review, verifying fees and disbursements, and addressing client inquiries
- Act as point of contact with clients and various internal and external stakeholders to provide assistance and information as required; receive, research, prepare for, and follow up on audit inquiries
- 2+ years’ general legal experience;
Business Law and/or Corporate Commercial experience considered an asset - Legal Assistant Diploma from a recognized post‑secondary institution
- Advanced technical skills, proficiency with Microsoft Office Suite
- Ability to handle a modifying workload with superior organizational skills
- Superior verbal and written communication skills
- Problem‑solving skills including the ability to set priorities while managing conflicting demands
