Job DescriptionOperations Coordinator (Purchasing, Logistics, Sales & Warehouse Support)
This is an important multi-function role in a Business Centre reporting to the Business Centre Manager. We are seeking a highly organized and versatile Operations Coordinator to support multiple business functions, including purchasing, logistics, inside sales, and warehouse operations. This role is ideal for someone who thrives in a fast-paced environment, can manage competing priorities, and is comfortable wearing multiple hats.
MainResponsibilities Purchasing & Vendor Management
- Assist in sourcing, purchasing, and order placement of materials and equipment.
- Coordinate with suppliers on pricing, availability, and delivery timelines.
- Track purchase orders and ensure timely receipt of goods.
- Manage inventory write-downs with manager assistance to minimize financial impact.
- Analyse and quickly correct inventory discrepancies.
- Work with the Business Centre Manager and salespeople to evaluate new products and product lines, and recommend them.
- Maintain the integrity of special SKU costs in the system.
- Keep supplier data (special costing, lead-time, etc.) up-to-date.
- Create new stock SKUs when needed.
- Plan and coordinate inbound and outbound shipments.
- Work with freight carriers and logistics partners to ensure cost-effective delivery.
- Monitor inventory levels and assist in stock replenishment planning.
- Organise and coordinate shipment paperwork for international shipments with broker for timely clearance.
- Book pick-ups for local and cross-border shipments.
- Obtain quotes and arrange shipments with freight forwarders.
- Monitor shipments until final delivery.
- Review freight invoices.
- Resolve claims for damaged shipments.
- Respond to customer inquiries and provide product/service information.
- Prepare quotes, process sales orders, and follow up with customers.
- Support the sales team with administrative and coordination tasks.
- Assist with receiving, organising, and tracking inventory.
- Ensure accurate documentation of incoming and outgoing materials.
- Support periodic inventory counts and reconciliation.
- 3+ years of experience in operations, logistics, purchasing, or inside sales.
- Strong organisational and multitasking skills.
- Proficiency in Microsoft Office (Excel, Outlook, Word); ERP experience is an asset.
- Excellent communication and problem-solving abilities.
- Ability to work independently and as part of a team.
- Experience in supply chain or distribution environment.
- Familiarity with inventory management systems.
- Customer service or inside sales experience.
- Attention to detail.
- Time management and prioritisation.
- Adaptability and willingness to learn.
- Strong work ethic and accountability.
