Veterinary Reception, Client Care

Location:

Calgary, AB – Calgary North Animal Hospital & 24 Hour Emergency Service.

We are recruiting a customer service-focused Veterinary Reception, Client Care to join our full-time team. Your primary responsibility is to ensure our clients and their pets feel welcomed, expertly cared for, and appreciated.

Responsibilities
  • Create a warm and welcoming environment for patients and pet parents.
  • Assist veterinary staff with various tasks and treatments as required.
  • Answer a multiline phone system and track and book appointments effectively.
  • Place outbound calls to pet parents for follow-up and future appointment bookings.
  • Respond to and manage email correspondence from clients, referring veterinarians, and internal office messages.
  • Admit and discharge pet patients.
  • Process invoicing and billing: create estimates, obtain pet-owner confirmation, and process payments.
  • Schedule appointments.
  • Deliver excellent customer service and put people at ease.
  • Maintain strong organizational skills.
  • Perform general housekeeping duties, ensuring cleanliness of the reception area, pet holding areas, and common areas.
  • Show willingness to learn more about veterinary services, updated medical office procedures, and support the Veterinary staff with various tasks and treatments.
Qualifications
  • High level of customer service skills with a real aptitude for creating a welcoming environment.
  • Strong organizational and multitasking abilities.
  • Comfortable with using a multi-line phone system and scheduling software.
  • Excellent written communication skills for email correspondence.
  • Attention to detail in billing and invoicing processes.
  • Ability to work as part of a team and support veterinary staff.
  • Willingness to learn about veterinary practices and procedures.
