Position Summary

Reporting to the Sr. Manager, Engineering & Maintenance
, the Facilities & Central Maintenance Specialist will oversee centralized facilities, building maintenance, central services, and property-support activities across UFA's network. The role is responsible for the effective coordination and administration of facility and property support services across sites. It ensures maintenance requests, vendor relationships, lease and utility administration, and non-operating property requirements are managed efficiently and consistently to support operational needs.

The position also oversees site-based building maintenance and break/fix activities requiring external trades or specialized vendors, while managing key centralized programs.

Responsibilities

Oversee centralized facilities and maintenance support for UFA network locations, ensuring workflows, service standards, vendor coordination, purchase orders, invoice handling, and follow-up processes are in place and working effectively.

  • Coordinate site maintenance and break/fix requests associated with building systems, building envelopes, structural repairs, plumbing, electrical, HVAC, doors, locks, signage, site services, and other non-petroleum facility work requiring qualified trades or specialist building-service vendors.
  • Provide coordination and administration for utilities and central services across applicable sites, including the set-up and transition of services for newly acquired or newly built locations.
  • Manage facility service programs and vendor contracts, including coordination, scheduling, performance monitoring, issue resolution, compliance support and cost control across multiple operational services.
  • Support municipal bylaw compliance, property tax administration, business license administration for all UFA and affiliated locations, and other property-related compliance requirements as assigned.
  • Coordinate vacant site upkeep, including groundskeeping and oversight of legacy sites until ready to divest.
  • Administer lease payments for land and sign leases rented by UFA and administer lease arrangements where UFA is landlord.
  • Support maintenance program process development, tracking, reporting, continuous improvement, and training or communication required to help sites understand how to submit and follow up on facilities-related requests.
  • Negotiate service agreements and contracts, renewals, rates, and contract conditions with vendors and service providers to achieve optimal service levels, cost effectiveness, risk mitigation, and alignment with organizational objectives.
  • Build and maintain positive working relationships with site leaders, vendors, tenants, neighbours, local authorities, and internal stakeholders to support quality control, timely resolution, and client satisfaction.
  • Assist with budgets, forecasting, invoice validation, expense reconciliation, vendor set-up, purchase order support, and cost analysis for assigned facilities, maintenance, property, and central service programs.
  • Support acquisition, divestiture, expansion, and new-site activities by coordinating assigned utilities, central services, lease administration, facility maintenance onboarding, and related transition activities.

Qualifications

  • Post-secondary education or equivalent experience in facilities management, property management, construction, maintenance, business, real estate, or a related discipline is required.
  • 8+ years of direct facilities, property, maintenance, vendor, or real estate administration experience, including communication with site leaders, vendors, tenants, and internal stakeholders.
