Legal Assistant 3
As a Legal Assistant 3, you will work collaboratively to provide legal administrative support to the lawyers practicing in Legal Services. You will be responsible for a variety of legal clerical and administrative tasks requiring you to exercise independent judgment. Primary duties may include:
- Compose correspondence.
- Prepare, type, review and arrange for execution of a variety of documents, including complex contracts and documentation.
- Manage paper and electronic files.
- Assist lawyers in all areas of their practice and practice management administration.
- Liaise with client departments involved to coordinate service and determine or develop procedures to improve communications, reporting, and turnaround times.
- Receive and respond to inquiries from the general public, other law firms and professional groups with respect to general or procedural questions and status of documents.
- One of the following combinations of education and experience is required:
- A completed 1-year certificate/diploma in legal studies and at least 1 year of relevant legal experience; OR
- A High School diploma or equivalency (e.g. GED or CAEC) plus job‑related coursework in legal support services and at least 3 years of relevant legal experience; OR
- A High School diploma or equivalency (e.g. GED or CAEC) and at least 5 years of relevant legal experience.
- Law firm experience within the previous two years working in one or more practices focusing on: corporate, commercial, contracts, finance and/or development project support is required.
- Advanced proficiency with Microsoft Outlook, Excel and Word is required, including excellent formatting skills for editing complex and lengthy Word documents.
- Intermediate proficiency with Microsoft PowerPoint, SharePoint and Adobe Acrobat/Adobe Pro.
- Experience with contract management and version control will be considered an asset.
- Experience in procurement, construction contracts, Information Technology/Intellectual Property and/or environmental law will be considered an asset.
- Experience using emerging technologies to identify opportunities for process improvement, enhance efficiency, and support continuous improvement in work practices will be considered an asset.
- Excellent communication and interpersonal skills with the ability to collaborate with various levels of interest holders, both internal and external to The City.
- Strong attention to detail and proofreading skills along with demonstrated organizational skills and the ability to adapt to constantly changing priorities in a limited timeframe.
