Role SummaryAs the Manager, Sample Operations
, you will oversee the complete process of sample fulfillment—from item setup and material purchasing to production and delivery of finished samples to warehouses or customers. You will manage inventory and orders for samples, moldings, adhesives, accessories, and flooring products stocked in warehouse(s) for sale to customers. You will lead a team of customer service and purchasing associates, provide training and direction, and collaborate closely with marketing, warehouse operations, and vendors to ensure timely and accurate fulfillment.
- Manage distributor sample orders and fulfillment for domestic and global sample production across all brands, distributors, and OEM private‑label customers.
- Purchase and manage inventory of samples and related materials.
- Maintain accurate sample inventory and pricing in Sage; ensure SKU setup and maintenance in Sage and IHOPS.
- Oversight of proper training of staff to ensure accurate order entry and compliance with shipping requirements.
- Manage all factory‑direct import and domestic orders via truck, ocean, or air freight.
- Handle online orders and maintain open order, backorder, and PO reports.
- Communicate with vendors and troubleshoot system issues with RSI or Sage IT to streamline processes.
- Approve invoices and provide customers with timely status updates, proactively addressing delays.
- 3-5 years of experience managing sample fulfillment operations with demonstrated leadership ability.
- Hands‑on experience with Ship Works, Accellos, and freight websites for shipping and logistics a plus.
- Proficiency in Sage, Tableau, Mapodoc, EDI, or similar systems for accounting and data management.
- Strong understanding of the flooring distributor channel and its unique sample fulfillment requirements.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams).
- Bachelor’s degree or higher in Marketing, Business Administration, Industrial Engineering, or Logistics.
- Schedule:
Monday – Friday, 8:00 am – 5:00 pm EST, with flexibility for occasional evening meetings or calls. - Work Environment:
Hybrid, minimum two days in office. - Travel:
Some overnight travel may be required. - Physical Demands:
Mostly sedentary; repetitive hand and wrist motions; ability to lift, pull, or maneuver up to 25 lbs.
The salary range for this role is $65,000 to $75,000 and a yearly bonus potential. This range is applicable for jobs performed in the Eastern and Central Time Zones. An employee’s pay position within the pay range will be based on several factors including relevant education, qualifications, certifications, experience, skills, seniority, geographic location, and business organizational needs.
