Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Overview
Administrative Manager role at Ramboll, Princeton, New Jersey. This position requires daily on-site presence and is not eligible for hybrid work due to specific office needs. The Princeton office has over 100 employees.
Responsibilities- Organize and manage employee engagement activities, internal and client meetings and social events, including coordinating calendars, booking resources, and arranging catering.
- Maintain the office space, workstations, kitchen area and conference rooms, and stock supplies.
- Act as the primary contact for the property manager; collaborate with the Workplace Management team; identify issues and coordinate local office renovations, repairs, and maintenance.
- Provide occasional administrative support to the Philadelphia office with facility-related requests.
- Office-wide communications and maintaining the Princeton office intranet page; answer the main office phone line and manage general voicemails.
- Manage visitor reception, building access and deliveries.
- Manage incoming/outgoing mail and courier packages and route items correctly.
- Vehicle administration: support field vehicle registrations and servicing and the EZ Pass reconciliation process.
- Employee onboarding/offboarding; process vendor invoices and prepare reconciliation reports.
- Support employees with registering and following up on IT service ticket issues.
- Timesheet administration: assist with timesheet follow-up to ensure timely submission.
- Assist with daily requests from the regional business support team.
- Prepare proposals, presentations, reports using Ramboll-branded templates and Microsoft Office tools; ensure formatting and branding compliance.
- Project file management support using Project Wise.
- Support creation and updating of Ramboll employee resumes and profiles used for proposals, project sheets, and marketing material.
We support your personal and professional development. The following qualifications and capabilities will set you up for success:
- Five years of experience as an office administrator or executive assistant; experience in an engineering and consulting context is beneficial.
- Document production skills with Microsoft Office 365 (Excel, PowerPoint, One Drive, Teams, Outlook) and Adobe.
- Familiarity with a CRM system;
Dynamics CRM is beneficial but not required. - Bachelor’s degree preferred in business, communications, marketing, or related field; an associate degree or equivalent experience will be considered.
- Strong administrative project management and task leadership experience.
- Well-developed leadership, organizational and planning skills with attention to detail, prioritization, and deadlines.
- Experience planning meetings and business/employee events.
- Ability to troubleshoot office equipment and set up virtual meetings in conference rooms.
- Excellent written and verbal communications including grammar, spelling, punctuation and proofreading/editing skills.
- Ability to juggle multiple tasks; work independently with minimal supervision; maintain discretion in sensitive situations.
- Poise, tact, and diplomacy in professional interactions.
- Reaching, standing, sitting for extended periods; lifting of objects; repetitive motions of wrists/hands/fingers.

The U.S. pay range for this position is $65,000 - $85,000 annually and does not include bonuses, overtime or other forms of compensation. Pay within this range varies by location and by job-related knowledge, skills, and experience.
