Job Title: 340B Data Analyst
Department: 340B
Reports To: 340B Director
FLSA Status: Non-Exempt
Summary: Under the direct supervision of the 340B Director, the 340B Data Analyst analyzes the 340B program and produces reports that guide decision‑making and track the program’s financial impact on the organization. The analyst also performs chart reviews to locate chart notes, consultations, medications, and referral orders to support 340B claims, reviews invoices and pricing, and prepares and maintains accounting documents and records.
The role requires collaboration with clinic staff, medical staff, physicians, wholesalers, and other parties to ensure all requirements are met.
- Utilize 340B reports to identify patient charts requiring review for documentation.
- Perform chart reviews to confirm presence or absence of required elements.
- Coordinate with specialty offices or the Referral Department to obtain missing consultation documentation.
- Contact pharmacies for copies of prescriptions when consultation documentation is incomplete.
- Interact with multiple affiliates—including wholesalers, vendors, insurance providers, pharmacies, internal departments, providers, and regulators—to gather necessary information.
- Collaborate with office staff, medication case managers, and physicians to ensure medication reconciliation reflects 340B claims.
- Confirm referral orders are documented for patients seen by consulting specialists.
- Fax consultations and prescription slips to Athena for scanning into the EMR.
- Verify 340B claims reports with the 340B team.
- Review invoice pricing and financial reports, and prepare and maintain accounting documents.
- Deliver high‑quality customer service using AIDET standards.
- Demonstrate strong organization, time‑management, and independent work skills, meeting deadlines with precision.
- Identify problems, conduct analyses, and address issues promptly to enable timely action and maximize reimbursement.
- Develop reports, charts, and tables to guide 340B decision‑making.
- Assist in 340B oversight committee reports and other committee reports.
- Support 340B fiscal‑year‑end reports and financial reconciliation.
- Cross‑analyze financial reports and invoices for accuracy.
- Identify trends in the 340B space and propose solutions.
- Follow all safety policies, including infection control rules, and comply with domestic‑violence, child, and dependent‑abuse protocols.
- Demonstrate cultural sensitivity and competence.
- Maintain HIPAA compliance and employee confidentiality.
Education and Experience: Four‑year degree or equivalent experience, preferably in accounting or finance.
Language
Skills:
Ability to read, interpret, and write routine reports and correspondence; communicate effectively with customers and staff.
Mathematical
Skills:
Competency with basic arithmetic, ratios, percentages, and graph interpretation.
Reasoning Ability: Apply common sense to written and oral instructions, and solve problems with multiple concrete variables.
Computer
Skills:
Proficiency in word processing, spreadsheets, email, and keyboarding;
Microsoft Office (Excel) and Google Suite required.
Certificates, Licenses, Registrations: Current, valid, unrestricted California Driver's License (Class
C) required.
Other Requirements: Pass a criminal history background check and drug screen upon hire; comply with annual health examinations and immunization requirements as outlined.
Physical Demands: Regular use of hands, reach, touch; frequent sitting with occasional standing and walking; lift up to 10 pounds regularly and up to 25 pounds occasionally; requires close, distance, color, peripheral, depth vision and ability to adjust focus.
Work Environment: Exposure to moving mechanical parts and occasional risk of electrical shock; moderate noise level.
Schedule: Willingness to have a flexible work schedule that may include evenings, weekends, and travel as needed.
