About the Role

The Importation & Supply Chain Officer will maintain and manage a smooth flow of goods across the full import lifecycle - from purchase ordering and forecasting through to overseas production, international shipping, customs clearance, and warehouse intake.

Key Responsibilities
  • Communicate with overseas suppliers: Maintain regular contact with international manufacturers and suppliers via email, messaging apps, and phone calls to confirm product readiness, production updates, shipment schedules, and any potential delays. Build strong working relationships to ensure smooth coordination and quick resolution of issues.
  • Manage end-to-end purchase order processing: Handle the full lifecycle of purchase orders, including receiving requirements from the planning team, lodging orders with suppliers, verifying order accuracy, monitoring production timelines, and ensuring all details are correctly recorded in internal systems.
  • Track and trace international shipments: Closely monitor containers, vessels, and airfreight shipments to maintain up-to-date visibility of product movement. Ensure all shipments are progressing on schedule and take proactive action if delays occur, liaising with shipping lines and freight forwarders as needed.
  • Audit and verify documentation for customs clearance: Check all shipping documents, licences, certificates of origin, health certificates, packing lists, and invoices to ensure they meet UK and Irish import requirements. Identify any errors or missing information early to prevent delays at the port.
  • Liaise with shipping lines, freight forwarders and clearance agents: Coordinate with external logistics partners to arrange bookings, confirm schedules, manage container releases, oversee customs submissions, and secure timely delivery of goods from port to warehouse.
  • Coordinate goods arriving into warehousing: Work with internal warehouse and operations teams to schedule inbound deliveries, communicate expected arrival times, and ensure all required information is shared in advance. Support smooth unloading, checking, and intake of stock.
  • Process goods into internal systems: Receive incoming stock into the IT system accurately and promptly. Update product records, delivery notes, and inventory details to maintain accurate and real-time visibility of stock levels.
  • Maintain clear internal communication: Ensure all relevant teams — including planning, sales, finance, and warehousing — receive up-to-date information about overseas orders, delivery timelines, pricing updates, and any changes that may affect stock availability or customer commitments.
