Essential Job Functions
- Perform daily case processing duties, including a high volume of data entry for civil, criminal, and juvenile case types.
- Receive cases/pleadings, perform cashiering duties, and process fees using a computerized cash register.
- Deliver cases/pleadings to appropriate desks for docketing, assist with maintenance of court files, and issue summonses, subpoenas, and orders.
- Provide customer service to customers, attorneys, and court‑related agencies in person and by telephone, following office guidelines and policies.
Essential Duties and Responsibilities
- Greet and assist the general public and court‑related personnel, responding to inquiries about completing court‑related forms and court policies.
- Prepare case files and ensure all necessary documents are complete and accurate per established procedures.
- Process and maintain case files by reviewing pleadings, typing docket information, and establishing case files.
- Enter new cases and update existing case information in the court's data system.
- Review and process legal documents such as bench warrants, bond forfeitures, subpoenas, summonses, appeals, continuances, and commitment papers.
- Receive, enter, and account for all monies received by the court for fines, court costs, and other fees using a computerized cash register.
- Perform other duties as assigned.
Education: High school diploma (or GED equivalent).
Experience: One (1) year of work experience in court operations or in the fields of criminal justice, parole and probation, legal, or financial services.
Additional qualifications: A Bachelor’s Degree, a Paralegal/Associate Degree or 60 college credits, or a Paralegal Certificate may substitute for the required work experience.
Knowledge, Skills, and Abilities- General office practices, procedures, and equipment.
- Standard legal forms and documents used in the judiciary.
- Basic English and arithmetic skills.
- Customer service and problem‑tactful handling.
- Active listening, empathy, problem solving, and communication.
- Accuracy and attention to detail.
- Typing on a personal computer and typewriter.
- Use and maintenance of alphabetical and numerical filing systems.
- Use of standard office and business equipment such as PCs, word processors, spreadsheets, database software, copier, register, scanner, and fax machine.
- Understanding and abiding by department rules, regulations, and procedures.
- Effective verbal and written communication with the public, law enforcement, attorneys, and court officials.
- Exercise of tact, diplomacy, and impartiality in dealing with the public, law enforcement, and attorneys.
- Adherence to procedures, verbal and written instructions, and protocols for any assignment.
- Use of proper grammar, punctuation, and spelling.
- Exercise of independent judgment in interpreting and applying policy, procedure, rule, and law.
Sedentary work; occasional lifting of up to 10 pounds. Requires sitting most of the time, with occasional walking and standing.
