Experienced Administrative Coordinator (3+ Years Required | Travel & Expense Focus)
We are seeking a highly organized Administrative Coordinator with a minimum of 3 years of administrative experience to provide dedicated support to a group of faculty members. This position involves high-volume expense reimbursement, travel coordination, and professional communication on behalf of multiple stakeholders. The position offers a pay rate of $25 per hour.
Key Responsibilities:- Provide administrative support to 4–5 faculty members
- Coordinate domestic and international travel arrangements
- Process expense reimbursements (preferably using Concur or a similar system)
- Draft internal and external communications and documents
- Schedule meetings and appointments; create itineraries
- Assist with planning and coordination of events, including logistics for outside speakers and consultants
- Minimal calendar management (faculty manage their own calendars)
- At least 3 years of experience in an administrative support role
- Hands-on experience with travel booking and expense reimbursement processes
- Experience using Microsoft Outlook and the broader Microsoft Office Suite
- Previous use of Concur (or a similar travel/expense platform) is strongly preferred
- Proactive and detail-oriented
- Able to juggle multiple competing priorities with ease
- Strong written and verbal communication skills
- Comfortable working independently with minimal oversight
