Experienced Administrative Coordinator (3+ Years Required | Travel & Expense Focus)

We are seeking a highly organized Administrative Coordinator with a minimum of 3 years of administrative experience to provide dedicated support to a group of faculty members. This position involves high-volume expense reimbursement, travel coordination, and professional communication on behalf of multiple stakeholders. The position offers a pay rate of $25 per hour.

Key Responsibilities:
  • Provide administrative support to 4–5 faculty members
  • Coordinate domestic and international travel arrangements
  • Process expense reimbursements (preferably using Concur or a similar system)
  • Draft internal and external communications and documents
  • Schedule meetings and appointments; create itineraries
  • Assist with planning and coordination of events, including logistics for outside speakers and consultants
  • Minimal calendar management (faculty manage their own calendars)
Required Experience:
  • At least 3 years of experience in an administrative support role
  • Hands-on experience with travel booking and expense reimbursement processes
  • Experience using Microsoft Outlook and the broader Microsoft Office Suite
  • Previous use of Concur (or a similar travel/expense platform) is strongly preferred
Ideal Candidate:
  • Proactive and detail-oriented
  • Able to juggle multiple competing priorities with ease
  • Strong written and verbal communication skills
  • Comfortable working independently with minimal oversight
