Senior Assistant to Faculty Leadership

We’re hiring a Senior Assistant to Faculty Leadership to provide high-level administrative support for a prominent faculty member with an intense schedule. The role focuses on calendar coordination, course logistics, guest travel arrangements, and academic event planning. Key Responsibilities
  • Own the day-to-day management of a high-volume calendar, coordinating real-time changes and availability windows
  • Prepare academic course materials, including syllabi and course packets; manage student waitlists before each semester
  • Organize logistics for annual conferences, small workshops, and student engagement events (e.g., dinners)
  • Coordinate travel and accommodations for guest speakers and academic visitors
  • Stay in frequent contact with the Faculty Director to ensure alignment across activities and meetings
Requirements
  • 3+ years of recent administrative experience in an office or academic setting
  • Proficiency with Google Calendar, Zoom, Asana, and Outlook
  • Strong communication and organizational skills under tight deadlines
Preferred Skills
  • Experience managing course logistics or enrollment
  • Familiarity with academic or nonprofit event coordination
  • Ability to handle shifting priorities and fast-changing schedules
