POSITION SUMMARY:
The Fund Manager will be an integral member of the Development team, reporting to the Associate Director, Operations. The Fund Manager is responsible for all fund management activities within the Development Office, serving as the primary owner for philanthropic fund integrity and compliance across more than 400 donor‑established funds. This includes ensuring all funds are created, classified, and reported in alignment with donor intent, GAAP, IRS regulations, and CASE/AHP standards for philanthropic fund management.
This role will be responsible for exception monitoring, flagging funds that are overspent, underspent, or out of compliance with donor intent; documentation and escalation, keeping records, and bringing discrepancies to Finance and Development leadership.
The Fund Manager will develop and execute an aligned strategic plan for oversight of donor and restricted fund data, effectively managing more than 400 donor funds through establishing efficient operations and technology utilization for fund reconciliation, tracking, analysis, and documentation management. The Fund Manager will work closely with System Finance & Accounting teams, Development Stewardship, Operations, Frontline Fundraisers, and members of the Development leadership team to ensure fund activity is transparent, auditable, and donor‑centered.

Full Time ESSENTIAL RESPONSIBILITIES / DUTIES:
Fund Management
Oversee the full lifecycle of philanthropic funds—creation, documentation, updates, transfers, and closure—ensuring alignment with donor agreements, organizational policy, and CASE/AHP standards.
Apply GAAP and IRS principles to ensure accurate classification of restricted vs. unrestricted gifts; evaluate when new funds are required versus when donor intent can be met within existing funds or departmental allocations.
Maintain standardized fund taxonomies and naming conventions in RENXT and Infor, ensuring consistency, transparency, and donor recognition accuracy.
Partner with Finance and SPA to manage reconciliation of donor‑supported funds: conduct quarterly reconciliations across all funds within RENXT (gift system) and Infor (Finance System), perform monthly reviews of high‑risk funds, and document/escalate discrepancies.
Serve as system and process owner for fund data in RENXT, ensuring data is accurate, auditable, and integrated into Development’s reporting environment.
Develop and deliver accurate, timely reports that meet donor, Finance, and stewardship requirements; assist with annual endowment reporting; provide fund analysis in support of meeting materials.
Design standardized reporting templates and dashboards in collaboration with Stewardship, Accounting, and Data Governance colleagues, ensuring reports reinforce donor trust and support enterprise reporting.
Monitor fund usage proactively to identify underspent, overspent, or non‑compliant funds, and provide guidance to Development and Finance colleagues to ensure corrective action.
Educate and advise fund owners, providers, and Development colleagues on appropriate fund usage, GAAP principles, and donor compliance requirements.
Document and continuously improve fund management policies and procedures, ensuring practices are replicable and reduce institutional risk.
Lead training sessions and serve as subject‑matter expert on philanthropic fund management for Development, Finance, and cross‑campus partners.
