Job Description

Harvard University Housing & Real Estate (HUHRE) is a department within Harvard Campus Services, a multi-department organization within Harvard’s Central Administration. HUHRE supports the University’s educational and research efforts by offering Harvard affiliates a wide array of housing and real estate services in University-owned properties which are conveniently located, competitively priced, and professionally managed to residents and tenants alike. HUHRE serves as the asset manager for Harvard’s portfolio of commercial spaces and centrally stewarded institutional assets, overseeing the leasing and operations of University-owned institutional space for Harvard affiliates and commercial spaces for rent by private retail tenants within the Cambridge, and Greater Boston area.

HUHRE manages a broad range of initiatives and assets to help support the Harvard community. These include, but are not limited to:

  • Leasing, managing, and renewing Harvard-owned housing as well as Harvard offices/institutional spaces, and commercial real estate portfolios
  • Leading community engagement and programming opportunities
  • Managing relationships with external partners and vendors
  • Working within the larger University community to develop and coordinate University-wide policies and strategies
  • Supporting new University housing and real estate development projects across the Cambridge and Greater Boston area

Job Summary

The Leasing Coordinator for Housing and leasing is responsible for marketing and leasing of Harvard University Housing rental apartments with a special focus on the assigned portfolio apartments. Individual portfolio assigned equitably in consideration of size and complexity. These efforts will enhance HUH’s ability to meet the University’s goal to support vibrant campus neighborhoods, strong financial stewardship, cutting-edge sustainability measures, and flexibility to meet future university needs.

The Leasing Coordinator reports to the Assistant Director of Housing and Leasing Services for Harvard University Housing.

Job-Specific Responsibilities:

Administrative Support

  • Manage the daily leasing function for this group of apartments, including the annual lease renewal and re-rental process.
  • Manage the annual tenant recertification for the HUH Protected Program at the assigned properties; initiate communication, conduct one on one meetings to verify income.
  • Manage Cambridge Housing Authority tenants.
  • Liaison with the Boston Redevelopment Authority and the City of Cambridge Community Development Department.
  • Track and monitor tenant arrearage accounts.
  • Address problems and initiate legal action for non-payment of rent.
  • Determine payment plans when necessary.
  • Coordinate necessary legal action with the Office of General Counsel and outside attorneys.
  • Liaison with management staff to address and problem-solve tenant issues, lease violations (pets, hoarding, noise, etc.), dispute matters, special projects as needed, i.e., new building opening, relocation of tenants, etc.
  • Liaison with Accounts Receivable and Accounts Payable;
    Participate in the annual rent setting process.
  • Participate in projects and train new employee/s or colleagues.
