Job Description

This position will report to the Operation Director(s) and provide overall administrative support for the operations team in Camden. It includes support across finance, legal, program management, procurement, sales and contracts. Responsibilities include preparing documents, spreadsheets, reports and presentations; maintaining logs, databases, inventories, filing and status reports; performing research or data analysis; collecting and disseminating data for weekly, monthly and quarterly meetings;

interacting with internal and external stakeholders; and managing supplies with ordering authority.

Essential Functions
  • 50% – Operations support and performance data collection and dissemination.
  • 15% – Scheduling, calendar maintenance and direct report coordination.
  • 15% – Supply ordering.
  • 10% – Special projects/events support.
  • 10% – Other duties as assigned.
Qualifications

High School diploma or equivalent, or 2 years post‑secondary/Associate’s degree with 0–2 years of related experience. Minimum 4 years of prior experience or 2 years post‑secondary/Associate’s degree with 0–2 years of related experience.

  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and Teams.
  • Strong organization skills and attention to detail.
  • Ability to multi‑task with frequent interruptions and critical time constraints.
  • Demonstrated high level of maturity and confidentiality relating to sensitive information.
  • Maintain sensitive documents/files for leaders.
  • Effectively prioritize assignments, providing consistent quality results.
  • Assist in analyzing and establishing plans to meet key project objectives and in identifying and resolving issues.
  • Assist in monitoring and managing critical department and project information, and schedules.
  • Provide administrative guidance for activities in defined scope of responsibilities.
  • Effectively work as a team member and establish and maintain cooperative working relationships.
  • Provide guidance and mentoring to other assistants.
  • Effectively communicate with all levels of management and individual contributors.
Preferred Additional Skills
  • Prior Aerospace & Defense industry experience.
  • Knowledge of Oracle MRP systems.
  • SharePoint administration.
  • At least 2 years as an administrative assistant.
